Description

The Sales Coordinator/Guest Services Representative assists the Director of Sales and General Manager in sales and operational support including: filing and organization, providing administrative support in assuring the back office and sales office are handled with the utmost of excellent service and care at all times. Duties encompass coordination of groups, meetings, general administrative functions, and support in arranging sales and hotel events. In this position, you will also assist a the front desk as a Guest Services Agent.
This position requires strong communication skills, both written and verbal. In addition, you will be responsible for assisting Sales by booking and servicing groups, meeting rooms, and conferences while providing exceptional customer service to guests and clients of the hotel.
This position requires excellent guest service skills and the ability to understand the guests’ needs and ideas. It also involves the complete understanding of professional etiquette and protocol at all times.

REQUIREMENTS

    Hampton Inn Atlanta-Georgia Tech-Downtown is a 106-room hotel located in Downtown Atlanta just a mile from I-75/85, footsteps from Georgia Tech’s football stadium and Coca-Cola’s corporate office. Experience family fun at Georgia Aquarium and World of Coca-Cola. Games and events at Mercedes-Benz Stadium and State Farm Arena, and downtown restaurants are nearby.
    Pay: $16.00 - $20.00 / hour

Responsibilities

ESSENTIAL DUTIES

  • Attend and complete all required training
  • Maintain an open line of communication between guests, employees, and management
  • Input and retrieve information from computer system for file maintenance, correspondence, and preparation of forecasts and marketing input
  • Ability to manage extensive amounts of information and provides constructive feedback
  • Excellent spoken and presentation skills
  • Considerable ability to listen effectively
  • Ability to effectively deal with department heads, customers, and team members, some of whom will require high levels of patience, tact, and diplomacy
  • Ability to manage multiple projects, meet and work effectively under time and resource constraints
  • Ability to assist in front desk PMS services at peak check in/out or as needed
  • Ability to participate in other hotel related duties as requested by supervisor or GM

SALES DUTIES

  • Support and assist with coordinating groups, entering group blocks, rooming lists and reservations
  • Providing data entry for group contracts, under the direction of the DOS and GM
  • Providing coordination of information with front office and F&B department as necessary to ensure information is communicated across departmental lines
  • Assist DOS in establishing and maintaining sales office protocol, including daily, weekly, monthly, and quarterly reporting as established.
  • Attend the weekly sales meeting and other hotel events as established by the DOS and Paramount
  • Extensive knowledge of marketing, negotiating and sales procedures associated with the hotel industry
  • Available for group check ins and during group events, when requested
  • Excellent written skills sufficient to produce sales and marketing communication that properly reflects the Brand image
  • Preparation of reports pertaining to the operation of the Sales and Marketing Department, including but not limited to the annual and monthly Forecast, Marketing Budget, lead management system, booking report, Delphi reports, sales meetings and marketing meeting minutes
  • In absence of the DOS, tour customers, maintain the sales office, and check sales voicemails
