QUALIFICATIONS:

  • Previous administrative or coordinator experience in hospitality, sales, or events preferred.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite; experience with CRM and event management software preferred.
  • Strong attention to detail and accuracy.
  • Demonstrated problem-solving skills and ability to work both independently and as part of a team.

PHYSICAL REQUIREMENTS:

  • Ability to sit for extended periods while performing administrative tasks.
  • Occasional standing, walking, and lifting of up to 20 lbs. for event materials or meeting setups.
  • Must be able to work a flexible schedule, including occasional evenings or weekends, based on event needs.

Responsibilities
  • Provide administrative support to the Sales & Events team, including Word processing, presentation preparation, and account management.
  • Assign incoming sales leads to the appropriate team member and maintain accurate records in the CRM system.
  • Coordinate meeting room reservations for internal meetings, external client events, and site inspections.
  • Assist with the planning and coordination of client events, ensuring seamless communication with operational departments.
  • Prepare contracts, proposals, and banquet event orders as needed.
  • Maintain organized and up-to-date filing systems for client accounts and event documentation.
  • Respond to client inquiries in a timely and professional manner, ensuring all details are captured and communicated effectively.
  • Support Sales Managers in follow-up communications, database management, and tracking of sales activities.
  • Collaborate with other departments to ensure flawless event execution and guest satisfaction.
  • Perform other duties as assigned to support the success of the Sales & Events department.
