Responsibilities

1. Order Processing & Sales Support:

a. Process sales orders, ensuring accuracy and timely submission to the relevant departments.

b. Coordinate with production, logistics, and warehouse teams to facilitate smooth order fulfillment.

c. Prepare and issue quotations, proposals, and sales agreements for clients.

d. Maintain and update customer records, ensuring all sales documentation is accurate and up to date.

e. Assist the sales team with administrative tasks, including report generation and lead follow-ups.

1. Customer Relationship Management:

a. Serve as a point of contact for customer inquiries, complaints, and order status updates.

b. Ensure prompt and professional follow-up on customer requests and issues.

c. Build and maintain strong relationships with clients by providing excellent customer service.

d. Communicate promotions, product availability, and other relevant updates to customers.

1. Sales Reporting & Documentation:

a. Maintain accurate records of sales activities, including lead tracking and conversion reports.

b. Generate and analyze sales reports to assist in strategic decision-making.

c. Manage and organize all sales-related documents, contracts, and correspondence.

d. Prepare reports on sales trends, customer feedback, and order processing performance.

1. Inventory & Logistics Coordination:

a. Monitor inventory levels to ensure product availability for sales orders.

b. Coordinate with the procurement and warehouse teams for stock replenishment when required.

c. Track shipments and deliveries, ensuring timely communication with customers and the sales team.

d. Address any delays or discrepancies in product deliveries with the logistics team.

1. Team Collaboration & Process Improvement:

a. Work closely with the sales team to align strategies and enhance customer experience.

b. Support marketing initiatives by assisting in promotional campaigns and client outreach.

Desired Candidate Profile

• Bachelor’s degree in Business Administration, Marketing, or a related field preferred.
• Proven experience as a Sales Coordinator or in a similar role.
• Strong understanding of sales processes, including quotation and order management.
• Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and ERP software.
• Excellent communication and interpersonal skills.
• Strong organizational skills with the ability to manage multiple tasks and deadlines.
• Attention to detail and a commitment to delivering high-quality work.
• Ability to work collaboratively in a team environment.
