JOB SUMMARY:

The Sales & Events Coordinator plays a key role in generating revenue for the venue through the sales of event spaces. This position is responsible for overseeing the booking process, ensuring the smooth planning and execution of events. Combining expertise in sales, client relations, and event coordination, the coordinator ensures that clients have a seamless experience while meeting revenue goals. The role requires strong communication, organizational skills, and the ability to balance client satisfaction with business objectives.

Responsibilities

KEY RESPONSIBILITIES:

  • Identify and pursue new business opportunities by targeting corporate, social, and non-profit organizations.
  • Build a strong client base through proactive outreach methods, including cold calls, emails, and networking.
  • Manage incoming client inquiries, providing detailed information on available venues, services, and pricing.
  • Prepare and present customized proposals that align with client needs and preferences.
  • Follow up with clients to secure bookings and ensure all event details are captured accurately.
  • Meet or exceed sales goals and performance targets related to bookings, revenue, and client acquisition.
  • Cultivate long-term client relationships, maintaining engagement from initial inquiry through post-event follow-up.
  • Serve as the primary contact for clients, advising on event logistics, services, and venue options.
  • Assist clients in selecting venue spaces and packages that match their event goals and budget.
  • Provide exceptional customer service, ensuring that client expectations are met in a timely and professional manner.
  • Collaborate with internal teams and external vendors to ensure smooth event logistics and execution.
  • Create event timelines, planning documents, and checklists to ensure all tasks are completed on time.
  • Oversee event setups, ensuring client requirements for layout, catering, and other specifications are met.
  • Draft, negotiate, and manage event contracts, ensuring mutually beneficial agreements for both the client and the venue.
  • Handle deposits, final payments, and financial records, ensuring accuracy throughout the process.
  • Partner with the marketing team to develop and implement promotional strategies for increased venue visibility.
  • Attend industry events and networking functions to represent the venue and generate new business opportunities.
  • Follow up after events to gather client feedback, encourage future bookings, and collect testimonials.
  • Maintain up-to-date records of sales, bookings, and client communications using a customer relationship management system.
  • Assist with administrative duties such as proposal preparation, file organization, and performance tracking.
