The Sales & Catering Coordinator contributes to the overall success of the hotel by providing superior customer service, administrative support, and assistance with selling products and services that maximize property revenues. This is a 6-month fixed term position from the start of hire.
Key Areas of Responsibility and Duties

Minimum Qualifications and Skill Requirements

  • Undergraduate degree in Business Administration, Marketing, Commerce, Hospitality Management or related discipline and 1 year related experience with at least 6 months in a customer service role; equivalent combinations of education and experience will be considered
  • Previous experience in the hotel industry an asset
  • Previous experience in a marketing and/or sales environment preferred
  • Intermediate-level user of MS Office Suite (Word, Excel, PowerPoint)
  • Demonstrated ability to multi-task, meet multiple and conflicting deadlines and remain organized in a fast-paced environment
  • Advanced communication, interpersonal and communication skills, with an emphasis on sales
  • Previous experience performing records management
  • Professional appearance and attitude
  • Some experience with conflict resolutio

Responsibilities:

  • Receives and filters phone call inquires and forwards to appropriate Sales Managers.
  • Creates bookings in the Passkey system and manages room blocks
  • Provides assistance to the property’s promotional efforts including organizing Sales & Marketing campaigns and participating in tradeshows or other related promotions;
  • Assists with the management and promotion of social media outlets, develop original content and suggest creative ways to attract more customers and promote our brand and increase web traffic and customer engagement metrics aligned with broader marketing strategies.
  • Participates in site inspections, client appointments, and client events;
  • Ensures accurate billing and record maintenance; performs routine office duties including organizing files, mail distribution, ordering office supplies and maintaining inventory levels of sales collateral
  • Drafts correspondence, prepares presentations, and coordinates related materials
  • Performs complex administrative tasks within a sales and catering function, including coordinating meetings, events and activities, as well as managing calendars; drafting correspondence; and preparing presentations and related materials.
  • Maintains client records and execute sales automation techniques including activating records of all customer relationship management initiatives and sales activities.
  • Handles routine duties such as ensuring accurate billing and record maintenance, organizing files, distributing mail, ordering office supplies and maintaining inventory levels of marketing collateral.
  • Ensures timely processing of all activities to the sales function within the property, including detailed and updated client files are completed
  • Other duties as assigned
