GENERAL DESCRIPTION
The Sales Manager / Event Coordinator is responsible for selling, planning and overseeing events at The Polish Community Center of Albany.
KNOWLEDGE, SKILLS AND ABILITY
Demonstrates professionalism, good judgement and has a positive attitude.
Able to build long-term good relationships with customers, solicit new customers and build client loyalty.
Excellent communication and interpersonal skills.
QUALIFICATIONS
Two (2) years sales experience in either wedding or corporate event planning.
Ability to multi task and prioritize workload to meet all deadlines.
Effectively communicate with all guests and employees in an attentive, friendly and courteous manner (both oral & written).

Markets and sells conferences, banquets and weddings.
Maintains a strong client relationship.
Represent the facility at weddings, banquets and community events.
Provides information to the customer calls/walk-ins regarding weddings, banquets, private parties, room rentals, corporate parties, trade shows, etc.
Sets sales appointments: Meets with potential and current clients to review date availability, scheduling, menu, floor plan and other event options.
Writes event contracts/proposals/invoices to present to customer.
Plans events and ensures the event runs smoothly, on time and according to the customer’s expectations.
Orders linens required for events on time.
Assists banquet staff (when necessary or in urgent situations) with their job functions to ensure optimum service to guests.
Maintains banquet files electronically and through hard copy. Files should contain all event information: deposit sheet, function sheet, final payment and other necessary forms to comply with facility policies.
Provides copy of all deposits/payments received to Treasurer.
Total all charges for events and prepare invoice to present to customer for payment.
Ensures proper payment and final head count seven (7) business days prior to the event.
Follow up with customers after event to ensure that service met customer expectations. Identify areas for improvement. Deal with customer complaints effectively.
Maintain e-mails, Answers phone calls and responds to customers in a timely manner.
Schedule set-up and maintenance staff as required for all events. Arrange for opener and closer for all trade shows.
