DESIRED SKILLS:

  • Previous administrative or accounting experience is strongly preferred. Candidates should be comfortable working with large groups of data and numbers daily. Must be comfortable with Microsoft Excel.
  • Strong communication skills to coordinate across dealerships and departments through email, phone, and Microsoft Teams. Our ideal candidate communicates clearly and effectively and asks questions regularly to deliver the desired results.
  • Strong organizational skills and the ability to maintain focus in a fast-paced environment. Candidates should be able to prioritize time sensitive tasks and maximize productivity throughout the day.

Responsibilities

International, New Trailers, Stock Bodies

  • Create unit stock numbers and generate vehicle purchases for all branches.
  • Submit International transfer forms and key International transfers in the DMS.
  • Assist in returning vehicles to stock and submitting DSRs as needed.
  • Floor trailers as needed and work with accounting to submit wire payments.

All inventory

  • Obtain and add general specs to all new and used inventory as needed. Coordinate with Allegiance branches to obtain and upload photos of each stock unit.
  • Monitor “transfer” inbox and coordinate with controllers, directors, and sales admins to transfer inventory, flooring, and titles/mso’s.
  • Upload invoices, line sheets, and all other pertinent documents to the inventory chapter of the CRM.
  • Regularly review on-order and available inventory and coordinate with marketing to maintain accurate vehicle listings across all marketing channels.
  • Coordinate with Regional sales admins to conduct monthly MSO/Title audits and update Arcadium accordingly.
  • Coordinate with accounting to review and clean inventory and flooring schedules regularly.
  • Assist with both internal and external flooring audits and work with controllers to correct discrepancies.
  • Monitor and distribute sales leads to Regional Sales Directors
