KEY SKILLS AND EXPERIENCE REQUIRED:

  • Excellent attention to detail.
  • Organised, efficient and capable of prioritising workloads.
  • Confident communicator with a good telephone manner.
  • Computer literate and proficient with Microsoft Word and Outlook – the role will entail working with coach industry software packages.
  • Friendly demeanour and good with people.
  • Flexible multi-tasking team player willing to be trained in new techniques and styles.
    Experience in customer services and travel is preferable but not essential.

Responsibilities
  • Answering the telephone and dealing with every subsequent enquiries for the Own Products Department and also operation of the main telephone line for the company; transferring calls to relevant departments.
  • Dealing with customers face to face in the office and dealing with subsequent enquiries.
  • Processing bookings and entering appropriate information onto the computer.
  • Printing of confirmations/invoices for clients.
  • Processing final payments - cheque, credit card, debit card, cash and gift vouchers and recording them accordingly for the Accounts Department.
  • Making bookings for any holiday & day trips with clients and also travel agents.
  • Chasing up day trip payments, then passing information onto Operations Department.
  • Chasing overdue holiday account payments with a polite call and chasing deposits.
  • Calling hotels from time to time to make additional bookings or to find out about facilities.
  • Requesting, extra rooms from hotels, especially single rooms to satisfy waiting lists.
  • Switch selling if tour is full.
  • Meeting monthly sales targets.
  • If any changes, alterations or cancellations taken for confirmed holiday bookings, fill in relevant form and pass to Reservations Manager to make changes.
  • Check availability on the computer.
  • Dealing with cancellations of day trips and making the relevant charges.
  • Dealing with cancellations of holidays once we have received written confirmation. Then sending out the necessary forms to clients or travel agents.
  • Calling reservation list after processing cancellations and reselling the rooms.
  • Comparing reservation list to computer availability.
  • Dealing with bookings & payments that come in the post only.
  • Sending out brochures in the post if requested and adding clients to mailing list on computer.
  • General office duties, photocopying, faxing, filing, retrieving messages off the answer machine and then dealing with them daily.
  • Ordering and keeping up stocks of hotel brochures & office equipment.
  • Keeping client medical forms, filing, liaising with insurance company.
  • Making staff familiarisation visits to hotels when requested.
  • Attending promotional days and evenings when requested.
  • Attending any staff development and training courses that is required.
  • Monitor and send company post on a daily basis.
