SUMMARY

Detail-oriented and highly organized Hotel Sales Coordinator to support our Sales & Marketing department in planning, coordinating, and executing group events and spa-related bookings. This role is ideal for someone looking to grow within the hospitality industry, with opportunities to advance into sales management or other areas of group and event coordination.

QUALIFICATIONS

· Prior experience in hospitality, event planning, or administrative sales support preferred but not required.
· Excellent written and verbal communication skills.
· Strong organizational abilities and attention to detail.
· Proficient in Microsoft Office Suite and comfortable learning property-specific systems.
· Ability to multitask in a fast-paced environment while maintaining a guest-first mindset.
· Professional demeanor with a collaborative, team-oriented approach.

EDUCATION AND/OR EXPERIENCE

High School Degree or equivalent required. Bachelor’s Degree Preferred. Minimum two years hospitality experience with a background in F&B is desired. Experience in Reservations / or Group booking procedures preferred.
Must be comfortable utilizing computer programs and various office machines (fax, copier, etc.). Working knowledge of common computer software programs such as Microsoft Word, Excel, Outlook.

LANGUAGE SKILLS

Possesses good oral and written communication skills. Ability to interpret documents such as safety rules, operating and procedure manuals; must be able to communicate effectively with guests and fellow associates; ability to communicate at the management level with superiors and peers.

MATHEMATICAL SKILLS

Must be able to add, subtract, multiply and divide; ability to utilize a calculator.

Responsibilities
  • Assist the Sales team in coordinating group sales, corporate retreats, spa group bookings, and in-house special events.
  • Prepare and distribute Banquet Event Orders (BEOs), contracts, proposals, and internal communication materials.
  • Serve as a key liaison between clients and internal departments, including Spa, Reservations, Banquets, Culinary, and Front Office teams.
  • Manage and track group rooming lists, spa itineraries, event changes, and billing information with accuracy and efficiency.
  • Schedule and conduct site inspections as needed, highlighting the property’s unique features such as our luxury spa, dining venues, meeting rooms, and lush grounds.
  • Coordinate and distribute daily change logs and weekly group function summaries to relevant departments.
  • Respond promptly and professionally to inbound sales inquiries and general sales emails; assist in managing incoming leads.
  • Maintain organized digital and physical files of signed contracts, BEOs, rooming lists, and deposits.
  • Monitor group room and space hold cutoff dates; notify appropriate Sales team members and client contacts accordingly.
  • Run sales-related reports and assist in preparing materials for weekly sales meetings.
  • Provide administrative support including scheduling, filing, copying, and maintaining accurate event records.
  • Uphold company policies, quality standards, and service expectations in all client and team interactions.
