JOB SUMMARY

The Sales Support Admin role is critical in assisting the sales team with day-to-day operations, ensuring seamless communication between departments, and maintaining a smooth flow of customer service, order processing, and administrative tasks. This role acts as the backbone of the sales process by handling internal coordination, quote preparation, and follow-ups, allowing sales representatives to focus on building relationships and closing deals.

QUALIFICATIONS

  • 1–2 years of experience in a sales support, customer service, or administrative role.
  • Experience in a print, signage, or design industry is an asset.
  • Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and CRM systems.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Attention to detail and accuracy when dealing with orders and client information.
  • A positive, team-oriented attitude with a willingness to learn.

Responsibilities
  • Assist the sales team by preparing quotes, invoices, job orders, and client communications.
  • Enter and update customer information and job details into the CRM and internal systems.
  • Coordinate between clients, production, estimation and design to ensure accurate and timely job completion.
  • Follow up with clients on artwork approvals, job changes, and delivery timelines.
  • Track the progress of sales orders and update relevant stakeholders as needed.
  • Maintain organized sales files and documentation for easy reference.
  • Respond to customer inquiries by phone or email and direct them to the appropriate team member.
  • Prepare sales reports and summaries as directed by the Sales Manager.
  • Help onboard new clients by ensuring all paperwork and internal requirements are met.
  • Support trade shows, events, and marketing campaigns as needed.
