Description:

As a Sales Support Officer you will be responsible for assisting the Pitstop Manager in all aspects of the sales and customer service process. You will be responsible for scheduling the AMC visits and liaising with customers over the dates and timings of the visits as well as scheduling clients’ jobs into the workshop. Lastly you will handle all incoming communications to The Pitstop, distributing them to the correct person and following up on their completion.

Responsibilities:

  1. Sales Support:
    a. Assist in the preparation of customer estimates and liaising with the Senior
    Technician/Pitstop Manager as required.
    b. Following up on estimates with customers to help drive conversion of estimates.
    c. Cultivate and maintain relationships with new and existing customers to foster
    repeat business and referrals.

    e. Ensure all leads are actively followed up.
    f. Ensure that the CRM Deals Pipeline is kept up to date with all enquiries and
    estimates sent out. Proactively notify the Pitstop Manager where follow up and
    additional actions are needed.
    g. Prepare sales MIS to ensure the performance of Sales at the Pitstop is adequately
    tracked.
  2. Customer Service
    a. Monitor incoming communications throughout the day, immediately answer any
    that can be answered and create a ticket and forward to the relevant staff member
    where the question requires specialist knowledge.
    b. Track responses to all incoming communications to ensure customer queries are
    responded to within the defined timeframes.
    c. Ensure all customer interactions are dealt with in a positive can-do attitude
    recognising that the customers’ needs come first.
    d. Ensure that all customer facing areas of the Pitstop are well presented and in line
    with our staging plan and brand guidelines. Also ensure on a daily basis that the
    carts presented are clean and tidy.
    e. Maintain a log of customer complaints and process failures and suggest ways to
    improve the process to ensure occurrences do not repeat.
  3. AMC’s:
    a. Handle all aspects of customer communication that is needed with regard to the
    scheduling of AMC visits.
    b. Manage any customer liaison with customers that is needed following the AMC
    Visit.
    c. Provide a list of AMC’s due for renewal and work with the Pitstop Manager to
    ensure the renewal takes place.
  4. Financial Management
    a. Follow up on any outstanding payments to ensure all monies due are collected.
    b. Manage the Petty Cash float in The Pitstop.
    Requirements:
    a. Strong written and spoken English language skills.
    b. High school education.
    c. Proven experience in sales support.
    d. Excellent communication and interpersonal skills as
    e. Proficiency in Microsoft Office Suite and CRM software.
    f. Knowledge of golf buggies or related products/services is a plus.
    g. Ability to work flexible hours, including weekends, as needed.
