Description The Sales Support Specialist is responsible for providing comprehensive administrative and operational support to the sales team, ensuring the smooth execution of sales activity reports, prospecting reports, account setups, quote creations, lead generation, and more. Play a key role in auditing sales data and collaborating with leadership to improve sales performance. Your organizational and problem-solving skills will also be utilized for order processing, SOP creation, issue resolution, and data entry tasks. Requirements Job Responsibilities: Maintaining accurate records of sales orders, customer card, and delivery details within Oracle Assigning accounts to the most suitable sales rep based on territory, customer needs, and workload Contacting customers to confirm order details, provide estimated delivery times, and address any inquiries or concerns. Monitoring the progress of SO through the sales cycle, updating customers on delivery status, and notifying them of any delays. Coordination with Logistics, Shop, and Inventory: Collaborating with the logistics, shop, and asset team to ensure timely delivery of products. Identifying and resolving any customer and internal issues that may arise during the sales process, such as order discrepancies, delivery problems, or customer complaints. Assist in setting up new customer accounts and updating/maintaining account records. Ensure customers are followed-up with in timely manner from reviewing LSA, follow-up dates, and all customers by sales rep Provide sales support by assigning target accounts to the sales reps, helping them focus on specific opportunities and companies. Generate leads from EDA Data & CoStar and qualify prospects to support sales initiatives. Prepare and send quotes for smaller items, ensuring timely follow-up. Generating sales reports to track performance metrics, identify trends, and inform sales strategies. Conduct weekly audits and data reports for new sales, focusing on opportunities, quotes, contacts, site visits, and asset tracking. Facilitate monthly meetings with all sales reps by team to discuss performance, challenges, support areas, and others. Review and monitor ZoomInfo, CoStar, and EDA Data to ensure training resources, account access, and reports are in place to support sales team. Onboarding Activity Support for Sales Reps on ensuring logins needed, marketing materials, training schedule in place, EDLs and certifications assigned, etc EDUCATION AND EXPERIENCE: Bachelor’s degree or equivalent experience At least 5 years of administrative experience supporting executive level. Sales and Marketing experience a plus Extensive PC experience, especially in Microsoft Office applications, Word, Excel and PowerPoint required Excellent interpersonal, analytical, and problem-solving skills High level of professionalism with effective verbal and listening, written and communications skills with all levels of the company, along with external contacts, customers, partners etc. Attention to detail and high level of accuracy Exemplary organizational and project-management skills with demonstrated ability to respond quickly to changing priorities Self-motivated; takes initiative to maintain productivity with minimal oversight Highly detailed in recording interactions with customers Key Performance Indicators (KPIs): Timeliness and accuracy of dispatch coordination. Number of sales activities audited and corrected. Volume of leads generated and quotes prepared. Accuracy and timeliness of order processing and data entry. Resolution time for customer and internal issues. Successful creation and implementation of SOPs.
