Job Description: HR Support Duties: Assist the HO People & HRBP in managing People Experience Hub activities Be the focal point for Satair China on Learning & Development topics, Talent Management, Employment branding topics within Satair context Responsible for ensuring the HR G-site is user-friendly and effectively serves the needs of employees and other stakeholders. Responsible for ensuring smooth onboarding & offboarding of all Satair Beijing employees. Provide travel related support including visa application, issuance of travel advisories in the context of international travel or business travel. This involves informing employees about relevant travel regulations, safety concerns, and company policies related to their trips. Support and coordinate HR related workshops and employee engagement activities Maintenance of HR related information / data such as training records. Office Administrative Management Duties Managing Airbus China one-roof agreements and proposing annual planned budgeting pertaining to office management parameters. Participating in budget preparation, financial reporting, and contract management related to office administration. Coordination and communication with both internal and external stakeholder Perform Front Desk duties in screening and managing phone calls and visitors Property Management Full scope of office management duties including and not limited to upkeep & maintenance of office assets, equipment & supplies including liaising with contractors, vendors, and suppliers to address office related matters, such as equipment maintenance, cleaning services, renovation and plant maintenance. Manage and ensure that all shared equipment / systems / physical working assets, are regularly maintained to a high level of operational readiness including and not limited to vendor and Facility management Ensure that the office area are kept at a presentable professional level Supplier & Payment Management Manage HR & Admin related suppliers’ contract renewal with Airbus General Procurement (GP) in line with Satair global processes Monitor suppliers’ KPI & performance and drive continuous improvements for all suppliers within the context Manage invoices from suppliers in cooperation with the accounting department including but not limited to vendor code creation and Purchase Order creation in SAP system Support on all audits pertaining to area of work Legal Compliance Support Responsible for company business licence renewal Responsible for the archiving and use of legal documents/ corporate certificates Data Management & Communications Mail / Email distribution to relevant departments & employees Overall in charge of Satair Beijing’s documentation & governance of Beijing Shared Folders. Managing company templates to ensure currency and to archive relevant important documents Environment Health & Safety (EHS) Support Focal point for Satair Beijing - part -timer Ensure Business Continuity planning, preparation and implementation under the lead of EHS manager Maintain safety non-incidence (FR1=0), adhere to all E&C standards (0 Excursions) and support local and global environmental initiatives Support and coordinate globally EHS related activities as per Satair Guidelines Manage Health & Safety, Environment & Sustainability actions per Satair global guideline Support Satair China’s (Beijing) Enterprise Risk Mitigation (ERM) Management Office Support Duties: Coordination and communication with both internal and external stakeholders including mail / email distribution to relevant departments & employees on behalf of the senior management Support and coordinate legal administrative requirements on behalf of Managing Director, Satair Beijing Co. Ltd Take lead to arrange and facilitate business related meetings when necessary Prepare reports, memos, letters, presentations using available software tools in support of Managing Director, Satair Beijing Co.
