Description

General Summary:
The Scheduler & Assistant of Nursing Services plays a key role in supporting the DON or designee in the daily management and coordination of nursing activities. This position requires excellent organizational, communication, and clinical skills to ensure that nursing operations run smoothly and effectively. The Assistant is responsible for assisting in administrative tasks, staffing coordination, and supporting patient care initiatives.

Principal Duties and Responsibilities:

  • Administrative Support:
  • Assist the DON or designee in managing departmental schedules (scheduling software), staffing, and patient care activities.
  • Handle last-minute staffing adjustments for absences, vacations, or census.
  • Checks time clock punch records against master schedules and notes the appropriate changes.
  • Keeps meticulous attendance records (absences & tardies) and reports findings to DON or designee.
  • Help prepare and maintain nursing reports, documentation, and compliance records. Monitors census fluctuations and adjusts staff schedules accordingly.
  • Coordinate meetings and ensure that all relevant parties are informed of schedule changes or updates.
  • Prepare and organize materials for training and staff development sessions.
  • Staff Coordination & Support:
  • Help monitor nursing staff performance and assist in evaluating shifts, work hours, and workloads.
  • Act as a point of contact for nursing staff to address questions, concerns, or scheduling issues.
  • Compliance & Quality Assurance:
  • Assist in maintaining compliance with healthcare regulations, policies, and procedures.
  • Help track and monitor patient satisfaction and resolve any issues or concerns in a timely manner.
  • Other Duties:
  • Assist with managing emergency situations or crises in the department, ensuring proper coordination of staff and resources.
  • Participate in regular meetings with the DON or designee to discuss department operations, staffing needs, and patient care improvements.
  • Stay current with industry best practices and nursing protocols to maintain a high standard of care.

Supervision: Reports to the Director of Nursing.

Qualifications:

  • Education:
  • High School or Equivalent required.
  • Associate’s degree in a administrative or medical related education preferred.
  • Experience:
  • Minimum of 2 years of medical administration experience in a hospital or healthcare setting preferred.
  • Minimum of 2 years of scheduling (manual & electronic application) experience preferred.
  • Skills & Abilities:
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Ability to collaborate with multiple departments and work well in a team.
  • Familiarity with healthcare software and electronic medical records (EMRs).
  • Problem-solving skills and the ability to adapt to a fast-paced environment.

Working Conditions:

  • Work in a behavioral health environment.
  • May involve occasional lifting and physical tasks in a clinical setting.
  • May require after hour and weekend on call availability as needed.
