JOB SUMMARY:

The Scheduling Coordinator is responsible for efficiently organizing and managing the daily, weekly, and monthly schedules of security personnel to ensure all client sites are adequately staffed. This role involves high attention to detail, problem-solving under pressure, and excellent communication with both clients and guards to handle last-minute changes, absences, or emergencies.

QUALIFICATIONS:

  • High school diploma or GED required; associate’s or bachelor’s degree preferred.
  • Minimum of 2 years of experience in scheduling, preferably in a security company.
  • Strong computer skills, including proficiency in MS Office (especially Excel), and scheduling software (e.g., TrackTik, WinTeam, or similar).
  • Excellent organizational and time-management skills.
  • Ability to remain calm and professional under pressure.
  • Strong written and verbal communication skills.
  • Knowledge of labor laws, overtime rules, and union regulations (if applicable) is a plus.
Responsibilities
  • Create and maintain schedules for security guards across various client sites.
  • Monitor daily attendance and adjust schedules to cover call-outs, no-shows, or emergencies.
  • Communicate schedule assignments, changes, and updates to security staff in a timely and professional manner.
  • Ensure all shifts are covered according to client contracts and service level agreements.
  • Collaborate with HR to track guard availability, qualifications, and certifications.
  • Maintain accurate records of shifts, hours worked, and overtime.
  • Assist in onboarding new guards by assigning initial schedules and explaining scheduling protocols.
  • Act as the main point of contact for scheduling-related concerns from both clients and employees.
  • Utilize scheduling software to optimize resource allocation.
  • Provide daily and weekly reports on coverage and staffing efficiency.
  • Participate in on-call rotation or respond to after-hours scheduling needs, as required.
