JOB DESCRIPTION

Job Title: Scheduler/Project Controls Specialist Department: Fin & Admin
Salary Band: Exempt/non-Exempt: Exempt
Report to: CFO
SUMMARY: Develop and maintain project schedules and track related costs. Work with Project Managers, Production Management, Engineers, Procurement, Quality Assurance, and Field Engineers to define critical paths, formulate initial deliverables, identify project phases/required work, and delineate resource allocations. Maintain the Open-Source Project Tracking System to ensure that all project revenue and cost information is accurate and complete. Prepare periodic project reports.

ESSENTIAL DUTIES: to include the following. Other duties may be assigned as needed.

  • Review contracts, end user milestones and installation dates, while working with Project Managers and Production Management, to define critical paths, develop primary project schedules and prepare initial deliverable forecasts. Provide scheduling and related information for use in the bid process as well.
  • Work with Engineers, Procurement, Fabrication, and Field Engineers as well as outside contract vendors to identify project phases, define work required in each phase and delineate source allocations. Create a phase oriented and cost-based Work Breakdown Structure (WBS) as well as creating Share Point sites for all new projects.
  • Enter project information into appropriate project development software and develop a detailed Critical Path Method (CPM) project schedule for the entire life cycle of the project. Send approved schedules to contractors/end users for review as instructed. Revise schedules as directed for finalization.
  • Create two-week look-ahead reports as required, interact with Project Managers daily, and attend weekly/bi-weekly project meetings to provide feedback on activities to report on status. Update project schedules as required. Create detailed weekly Fabrication Summaries for active production projects as well as future production projects as far as 6 months out. Consult Production Management to set priorities on all production projects. Provide customized project schedules as well as detailed activity reports monthly for customers.
  • Maintain the Open-Source Project Tracking System and ensure that all data and related project information are accurate and complete. Track project costs and compare actual costs to estimated costs. Prepare project reports for Senior Management, Engineering and Production Management’s review as needed. Facilitate project inventory and receivables review for all projects in close-out phase. Close-out projects in Open-Source Software as needed.
  • Participate in re-engineering efforts by providing input on project management related processes, procedures, and technologies, and effectively implementing such changes.
  • Monitor monthly billing for select production projects. Manage the control box projects in which purchase orders are received from our metal fabrication vendor. Responsible for managing/tracking revenues and costs as well as production & deliverable requirements.
  • Work with all the major workgroups to help facilitate and resolve issues with the Open-Source Project Tracking Software with PRI’s consultant via an external ticketing system. Make recommendations for upgrades of Open-Source Software and develop processes by which to migrate. Lead coordinator on future migrations. Work closely with PRI Workgroup Managers to help facilitate issues to a resolution as needed, and most importantly issues affecting Human Resource modules.

Participates in special projects and performs other duties as required.
Requirements:

EDUCATION and/or EXPERIENCE:

  • Bachelor’s Degree in Communications or Controls Engineering, Construction Management, Project Management, or a related discipline required.
  • 7-10 years of project scheduling and experience in an engineering/construction environment may be acceptable in lieu of a degree.
  • Project Management certification desired. Minimum of 5 years’ experience scheduling large capital projects as well as knowledge of project scheduling applications such as MS Project and/or Primavera 6 as well as MS applications Word, Excel, and PowerPoint and/or Google applications.
  • Accounting principles/practices required.
  • Effective oral/written communication, presentation, time/project management and analytical skills required.
  • Must be detail-oriented and possess critical thinking aptitudes.
