About the opportunity
Uniting seeks an experienced Scheduling and Admin Support Officer for The Marion in Leichhardt.
This role is central to the delivery of our person-centred approach and is the face of Uniting that goes beyond basic assistance with inquiries and office tasks. You will work collaboratively with the management team to support clients and their families to achieve their goals.

As the Scheduling and Administrative Support Officer, your role specifically will:

  • Deliver efficient and effective administrative support.
  • Coordinate meetings and local events, including logistics for meetings and events.
  • Provide project support and perform administrative tasks as requested.
  • Assist with the compilation of meeting papers, agendas and other information prior to meetings and with distribution of minutes.
  • Communicate effectively with stakeholders to ensure that they are informed of expectations and updates.
  • Maintain quality service provision when rostering staff members based on best practice and available data.
  • Ensure rostering practice is compliant with relevant legislation, including the relevant Enterprise Agreement/s and rostering principles.
  • Raise issues and opportunities regarding rostering practice and service provision with key stakeholders in order to continuously improve.
  • Respond to general enquiries and requests for information by internal and external stakeholders via various communication channels including, but not limited to, phone, email and system-based task allocations.
  • Lead and work as a member and provide support to colleagues and team members.
  • Where appropriate and in consultation with the Service Manager, effectively supervise staff, including providing and recording team meetings, arranging and/or providing training; advertising and recruiting, and any other supervisory duties in line with the role.

Qualifications / Requirements

  • Certificate 3 in Business Administration, Customer Service or equivalent qualification/experience

Skills & experience

  • Previous experience in aged or community care
  • High attention to detail and ability to problem solve, negotiate, mediate and resolve conflict
  • Tech-savvy with the capacity to document and communicate electronically, including via email and mobile phone
  • Great organization and time management skills
  • Experience using client/data management systems
