Job Type: Permanent
Salary: Competitive, to be discussed at registration stage.
Location: On site -Totton
Hours: Monday to Friday, 9:00 am – 5:30 pm

    We are seeking a proactive Scheduling Coordinator on behalf of our client to support their busy Project Team. This role is central to ensuring that internal processes run smoothly and that project documentation and communications are managed efficiently. You will work closely with engineering staff, project leads, and stakeholders across all levels of the business, including direct communication with senior leadership.

Responsibilities
  • Provide administrative support to engineering and project teams
  • Manage project documentation and maintain accurate office records
  • Prepare and update monthly KPI reports
  • Schedule meetings, prepare agendas, and distribute related documentation
  • Monitor project timelines and communicate progress or delays to stakeholders
  • Respond to and redirect email and phone inquiries
  • Assist with procurement activities, invoice processing, and supplier liaison
  • Perform data entry, filing, and assist with basic financial tracking tasks
  • Participate in weekly team meetings, contributing to structured discussions
  • Act as the first point of contact for clients, suppliers, and customers
  • Organise and maintain filing systems and regularly update databases
  • Liaise with the Team Leader, and Director to ensure smooth operational workflow
