POSITION OVERVIEW:

The Scheduling Coordinator is responsible for managing attorney schedules, reviewing case files, and preparing legal documents to support efficient court appearances and case progression in a high-volume debt collection law firm.
This role involves excellent attention to detail, strong organizational skills and significant coordination and communication with attorneys, clients, courts, and opposing counsel to ensure accurate and timely legal actions.

QUALIFICATIONS/REQUIREMENTS:

  • High school diploma or equivalent required; associate’s degree or paralegal certification preferred.
  • 2+ years of administrative or legal experience, preferably in a law firm or debt collection environment, preferred.
  • Familiarity with legal terminology, court procedures, and collection law practices is a plus.
  • Proficiency in Microsoft Office Suite and legal case management software
  • Excellent verbal and written communication skills.
  • Strong time management and problem-solving abilities.
  • Ability to handle sensitive information with confidentiality and professionalism.

Responsibilities
  • Coordinate and schedule attorney court appearances using Microsoft Outlook to maintain multiple calendars.
  • Schedule and confirm court appearances and mediations with courts and opposing counsel and third parties.
  • Communicate with court clerks and judicial assistants to confirm case statuses and court orders.
  • Contact clients to request witnesses or confirm participation in legal proceedings.
  • Hire coverage attorneys as necessary to ensure court representation.
  • Track and update hearing notices, case deadlines, and statute of limitations in the case management system.
  • Prepare and sort legal documents, identifying and interpreting case data for scheduling needs.
  • Review files and records to determine the appropriate course of legal action and respond to requests.
  • Compile, sort, and verify the accuracy of data prior to entry into legal systems.
  • Prepare legal packets and pleadings for court submission.
  • Review and verify upcoming court events to determine if attorney appearances are required.
  • Ensure compliance with court rules and deadlines related to scheduling and appearance notices.
  • Liaise with process servers and legal support vendors for timely service and filings.
  • Support general administrative tasks and special projects as assigned.
