This role supports essential operational functions that uphold agency standards in accordance with state and federal regulations, as well as internal policies and procedures. The Scheduling Support Specialist reports directly to the President while providing additional support to the Clinical Director and broader HiHealthCare leadership team. This position plays a critical role in ensuring continuity of care, effective communication, and consistent support for scheduling operations and back-office staff. The role may include after-hours or weekend call responsibilities as needed. Primary Responsibilities Serve as the main point of contact for field staff and patients regarding scheduling needs, changes, preferences, and inquiries. Track, update, and maintain staff, patient, and client schedules in the patient care system, following agency standards. Coordinate staffing by aligning field staff schedules with patient/client availability and compatibility. Maintain accurate records related to nursing staff schedules, absenteeism, schedule adjustments, and related documentation. Provide regular communication and reporting to the President and leadership team regarding call-ins, cancellations, overtime requests, client feedback, and other operational updates. Input data and manage master schedules within the Point of Care System. Prepare reports related to scheduling activity for leadership review and tracking. Assist in organizing remote training, onboarding sessions, and staff education initiatives. Act as a professional liaison with providers, case managers, and physicians to maintain effective collaboration. Support the management of medical supply and equipment inventory, including periodic inventory checks and distribution record updates. Provide assistance to the Authorizations Specialist and Compliance Coordinator as needed. Participate actively in team meetings, offering updates, insights, and operational reports. Contribute to agency policy reviews, internal audits, and satisfaction surveys for clients and staff. Perform additional duties as assigned by the President or designated leadership.
