Description:

QUALIFICATIONS:

The incumbent must possess the following qualifications:

  • Capable of relating to others working or studying in a post-secondary educational and research institution.
  • Strong administrative management skills, a clear understanding of administrative and office procedures, financial management, supervision and knowledge of computer programs typically used in an academic administrative office such as Banner Student System, FAST Budge System for Operating and Research Accounting, and others that may be implemented at the University.
  • Highly energetic and dynamic individual. Strong administrative, problem-solving, interpersonal and supervisory skills are essential as are good judgment, initiative, resourcefulness, tact and discretion.
  • Good understanding of the School’s and University’s general rules and regulations, as outlined in both the annually-revised Undergraduate and Graduate Calendars and the Handbook for New Students in order to backfill in periods of staff absences or peak periods.
  • Ability to work under pressure, to communicate effectively (verbal and written); to establish priorities; to recognize the need for change, and to develop plans for change where necessary.
  • Conflict resolution skills, tact and diplomacy; the incumbent must be mature, possess integrity and be able to act with discretion in matters of confidentiality.
  • In dealing with students, particularly with respect to student problems, the individual must use diplomacy, good judgment, sensitivity and discretion.

EDUCATION AND EXPERIENCE:

The above is normally acquired through the completion of:

  • University degree.
  • Seven years of relevant experience in a post-secondary setting, including experience on both the operational and academic sides of a school, in roles of increasing knowledge and responsibility.
  • Must have experience in a supervisory capacity as well as relevant experience with financial analysis and accounting procedures.

Responsibilities:

Reporting to the Director, the School Administrator provides support to the School through the coordination of academic, staff, and budgetary matters of the School on a day-to-day basis, according to the operational needs and goals of the unit as communicated by the Director. The School Administrator is responsible for the supervision of the unit’s support staff, providing direction on and oversight of administrative matters and ensures compliance with University and unit policies, procedures and regulations. They oversee the update and maintenance of the unit’s website and social media presence to enhance the unit’s external image and in support of recruitment efforts. They also are responsible for the confidential maintenance of files, on behalf of the unit in compliance with Records Management policies and procedures.
The School Administrator holds a critical role within the academic unit, acting in an advisory capacity to the Director in all aspects of University regulations and procedures and departmental administrative matters, ensuring the sound financial administration of the School’s operating budgets, and research accounts on behalf of faculty, as well as fiscal monies.
