Description

Covering a range of shift patterns ward clerks will provide a consistent and robust administrative support on the Same Day Emergency Care Unit As the first point of contact, courteously and efficiently receive all face to face and telephone enquiries from staff, patients, carers and external agencies in relation to hospital admissions, appointments and general enquiries, ensuring that accurate records, both manual and electronic, are maintained and appropriate action is taken in a timely manner Provides a front door meet and greet service, answers the telephone and deals with enquiries from hospital staff and the public concerning admission, transfer and discharge of patients. Ensuring correct information is made available, recorded or passed on to the relevant patient or member of staff Be responsible for the timely and accurate input of non-clinical patient related information on the hospitals electronic systems ensuring systems are regularly monitored and kept up to date To liaise with the data quality department to report any anomalies found in any patient data on the trusts clinical systems, highlighting errors or concerns To ensure the information recorded on trust clinical systems are accurate and consistent, verifying patient demographics data against national systems for every attendance Deal with telephone enquiries in a polite and courteous manner Remain composed at all times Show empathy when dealing with emotionally distressed patients To undertake Trust mandatory training and to attend appropriate training courses identified by the manager as required Be able to concentrate whilst working in a busy, potentially noisy environment To maintain any paper based documentation on the ward relating to patients admission and discharge In accordance with data protection and patient confidentiality principles, ensure patient health records are stored and located in a secure area and are not at any time left in a public area. Also to ensure patient records/names are not visible/are screened from view to members of the public/visitors during the working day Prepare all relevant documentation for clinics, making sure patient labels are printed Ensure PIMS system is fully maintained, all patient information up to date and clinics are appropriately cashed up Ensure that the Reception area is well maintained at all times, this may involve liaison with Domestic and Estates departments Arrange and document further clinical reviews or book follow-up clinic appointments Arrange photocopying as required Deal with daily internal and external post Any other duties relevant to the area of work Ensure notes are sent to coding within set time limits To ensure clerical support to the department for all non-clinical duties Work within clearly defined Standard Operational processes (SOPs) To work with the Nursing and Medical team towards achieving the Key Quality Indicators as set out by the trust Supervise stock control, undertake stock ordering and assist with annual stock take audit Competent and able to manage Nerve Centre, excel spreadsheets, ICE, IPM and a net.
