The Secretary to the General Manager plays a crucial role in providing administrative support to the General Manager (GM) and ensuring the smooth operation of daily office functions. The position requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The ideal candidate will be proactive, resourceful, and capable of handling sensitive and confidential information with discretion.

Key Responsibilities:
Administrative Support:
Manage and organize the GM’s calendar, including scheduling meetings, appointments, and travel arrangements.
Prepare and organize meeting agendas, minutes, and necessary documents for internal and external meetings.
Maintain and prioritize correspondence, including emails, letters, and phone calls, ensuring timely responses.
Coordinate office supplies, equipment, and office maintenance needs.
Communication and Coordination:
Serve as the primary point of contact for internal and external stakeholders on behalf of the GM.
Communicate effectively with employees, clients, and vendors to relay information or resolve issues.
Liaise with department heads, other executives, and team members to ensure that the GM is informed of relevant developments.
Document Management:
Organize and maintain both physical and digital files, records, and documents for easy access and reference.
Prepare reports, presentations, and other documentation as required by the GM.
Draft correspondence and other official communication on behalf of the GM.
Meeting and Event Coordination:
Organize and schedule meetings, conferences, and business events, ensuring all logistics are handled.
Assist in preparation of presentations, reports, and other materials needed for meetings.
Take accurate notes during meetings and prepare follow-up action items as required.
Confidentiality and Discretion:
Handle confidential information with the utmost discretion and professionalism.
Ensure sensitive matters are communicated effectively and discreetly, both within and outside the organization.
General Office Management:
Ensure the GM’s office space is organized, presentable, and functional.
Assist in managing office projects and initiatives as directed by the GM.
Help with various office-related tasks as needed, including managing the GM’s workload and priorities.
Qualifications:
Education: High School diploma required; Associate’s or Bachelor’s degree in Business Administration or related field preferred.
Experience: At least 2-3 years of administrative experience, preferably in a corporate or executive support role.
