Caladwich Consulting is seeking a Secretary II to provide administrative support for FPS Region 9 District Commanders (DC) performing a combination of various clerical and administrative duties requiring overall knowledge of FPS systems, policies and procedures. Core Responsibilities- • Shall compose routine correspondence including answer all phone calls and email correspondence in a timely manner. • Shall manage each District Office calendar schedule and is responsible for oversight of up to three calendars including one (1) for the District Commander and two (2) for Area Commanders. • Maintain the staff reception office area, greet visitors, and direct them to the appropriate FPS staff personnel • Schedule appointments, make arrangements for interviews and meetings, and communicate meeting details, including times, participants, and locations, as directed by FPS management or staff. • Shall set up meetings and teleconferences to support the district, which requires the scheduling and set up of conference rooms and arranging and disseminating information regarding meeting and teleconferences. • Entrusted with the overall design, organization and maintenance of DHS filing system. • Shall prepare information required for budget reports. • Prepare correspondence documentation and mailing labels by copying data from one record to another and file records accordingly in support of the District and PSO program. • Maintain inventory equipment lists for FPS and other agency provided security equipment and/or security systems that are in place within federal facilities. • Assist FPS and other contract personnel in the maintenance, purchase and dissemination of routine supplies in support of the security and contract guard program. • Runs Post Tracking System (PTS) reports, tracks post coverage and makes updates as needed to the PTS help desk. • Other administrative and clerical duties as assigned. Requirements Requirements for Candidate: • HS Diploma Required • Minimum 2 Years experience in standard and nonstandard administrative and secretarial Duties in Government agency • Proficient knowledge in Microsoft Office products, including Word, Access, intermediate Excel, and PowerPoint. • Excellent time management and attention to detail in handling administrative tasks, scheduling, and documentation. • Strong verbal and written communication abilities; comfortable drafting correspondence, taking meeting minutes, and interacting with staff and clients professionally. • Proactive and Self-Motivated: Anticipates needs, identifies issues, and takes initiative to improve office efficiency and support team objectives. • Problem-Solving Mindset: Approaches challenges with a calm, solutions-oriented attitude.
