The Corporation of the City of Elliot Lake is seeking applications for the position of Secretary III in the Recreation & Culture Department.

QUALIFICATIONS (EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS & ABILITIES):

· Post Secondary School Diploma or equivalent required
· Minimum 6 month to 1 year of experience in an administrative or clerical role, preferably in a fast-paced environment.
· Exceptional organizational skills and attention to detail.
· Demonstrated proficiency in Microsoft Office Suite (Word, Excel, and Outlook)
· Excellent written and verbal communication skills.
· Strong time management skills and ability to handle multiple tasks effectively
· Proven track record of reliable attendance.
· Strong interpersonal skills, with the ability to foster positive relationships with the public and colleagues.
Job Types: Full-time, Fixed term contract

Responsibilities
  1. Provides administrative support to the Director of Recreation and Culture.
  2. Prepares meeting agendas, records, transcribes and distributes minutes for approved committees and departmental meetings.
  3. Compiles and submits bi-weekly payroll attendance summary reports.
  4. Coordinates the scheduling and booking of facilities, parks and room rentals.
  5. Prepares invoices related to facility and room rentals.
  6. Processes departmental invoices in accordance with established practices.
  7. Prepares and submits purchase requisitions for departmental needs..
  8. Works scheduled shifts, including evenings and weekends to support departmental programs, activities and events.
  9. Manages and schedules appointments for Director and other management staff as required.
  10. Prepares monthly operational reports.
  11. Serves as the first point of contact for the department; greets visitors, answers incoming, responds to general inquiries or redirects as appropriate.
  12. Performs a variety of administrative duties, including as filing, word processing, and photocopying.
  13. Maintains accurate and organized departmental files and ensure compliance with record retention policies.
  14. Opens, sorts and distributes incoming mail.
  15. Coordinates and schedules outgoing mail and courier pickup.
  16. Monitors account balances and assists with the preparation of the annual departmental budget.
  17. Creates facility schedules and assists with scheduling facility programs.
  18. Assists with preparation and execution of City events.
  19. Performs other related duties as assigned.
