JOB SUMMARY:

The Office Secretary is responsible for performing a wide range of administrative and clerical tasks to support efficient office operations. This role involves managing communications, organizing files, scheduling appointments, and ensuring the office runs smoothly on a day-to-day basis.

Key Responsibilities:

  • Answer phone calls, respond to emails, and manage correspondence.
  • Preparing and proofreading documents, ensuring accuracy and adherence to formatting standards.
  • Maintaining and ordering office supplies and equipment.
  • Scheduling meetings and conferences.
  • Managing client accounts, tracking project progress, and updating clients on the status of their translations.
  • Ensuring that clients provide all necessary documents for accurate translations.
  • Assigning translation tasks to translators based on language proficiency and legal expertise.
  • Monitoring project deadlines and ensuring timely delivery of translated documents.
  • Ensuring confidentiality and secure handling of sensitive documents in line with legal standards.

This role requires strong organizational skills, attention to detail, confidentiality, and an understanding of both legal and linguistic nuances to effectively support the team and meet client expectations.

QUALIFICATIONS AND SKILLS:

  • High School diploma ( Bachelor’s degree preferred)
  • Proven experience as an office secretary, administrative assistant, or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office equipment.
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication skills.
  • Professional demeanor and ability to handle confidential information.
  • Multitasking and problem-solving abilities.
