ABOUT THE JOB
McLain Community High School is looking for an energetic, flexible, self-starting individual to lead and support McLain. This would include but is not limited to prepping for teachers/staff’s return, building phone/room lists, labeling mailboxes, managing copy machine issues, working with Telecom to update changes to staff and room assignments, organizing materials for registration, and updating emergency procedure folders, posting jobs and organizing interviews. Daily supporting/managing the secretary team, making sure there is classroom coverage when teacher absences are not filled, approving payroll and guest teachers. Being a liaison between parents, teachers and administrators.

SUMMARY: Assume management responsibility for classified personnel and effective office functioning. Is knowledgeable of total school program and acts as liaison between administration, staff, students and the community.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Answer questions, communicate information for/to community, act as liaison between administration, staff,
students and the community. Be able to handle high stress multiple situations simultaneously with confidence.
Gather, type and disperse daily announcements, weekly announcements, weekly calendar and memos as well as maintain principal’s personal calendar & correspondence.
Develop, organize and gather substitute information, direct and inform substitutes as well as coordinate coverage when no substitutes are available.
Prepare and audit payroll for classified personnel, verify substitutes, initial additional pay for employees manage payroll disbursement.
Initiate work orders for equipment repair, telephone service & building repairs as well as maintenance of all office equipment.
Gather, organize, assemble, edit, secure help and mail monthly newsletter.
Develop agenda, attend meetings, type minutes & disperse information for various committees. Order and oversee catering for various meetings.
Organize office (i.e. all District/school forms, principal’s files, confidential personnel files, inventory of office
supplies/equipment.
Organize, implement and provide coverage for paraprofessionals and secretaries.
Oversee set-up for Back-to-School night, parent teacher conferences and other staff meetings. Acts as the direct line to PTA/other organizations, CDM Accountability, After Prom and Boosters.
Implement evaluation process for classified & certified employees. Type, copy & disperse evaluations, schedule observations and conferences with follow-up and maintain files.
Organize beginning and ending of school (i.e. communication to all teachers), coordinate registrations, send out information, organize and help setup for registration, review & organize teacher and student handbooks, prepare and copy information for teachers at beginning of school, secure paraprofessional, organize and put together master schedule of classes for both semesters, prepare close of school procedures, & check teachers out of the summer.
Implement all personnel paperwork pertaining to hiring personnel, coordinating interviews including job descriptions & questions and implement position changes/terminations.
Perform other duties as assigned.

EDUCATION AND TRAINING: High school diploma/GED required, plus post secondary secretarial, business, office management, or computer courses, equivalent to up to one year of college. Required to complete district medication administration and health room back up training within first month of hire. Annual training also required.
EXPERIENCE: 3 or more years’ secretarial experience. Experience in a school district department or school setting preferred.
SKILLS, KNOWLEDGE, & EQUIPMENT: Requires strong oral and written communication, interpersonal, proofreading, customer service, diplomacy, and advanced microcomputer skills. Ability to handle multiple tasks and deadlines. Ability to maintain confidentiality in all aspects of the job. Operating knowledge of and experience with computers, office software, and general office equipment at time of hire. Knowledge of District policies and procedures preferred.
CERTIFICATES, LICENSES, & REGISTRATIONS: First Aid & CPR Certificate highly recommended.
SUPERVISION/TECHNICAL RESPONSIBILITY: May be responsible for assigning, directing work, and training secretaries, sub-secretaries, clerical staff, paraprofessionals, and/or student aides in the office. May also have input into hiring and discipline processes. Acts as a departmental resource for staff.
CONTACTS: Daily and/or hourly contact with persons within/outside department/building, students, parents, vendors/suppliers, general public, applicants, and/or District advisory committees requiring tact and diplomacy to maintain relationships, resolve problems, and negotiate matters, often involving confidential and/or highly confidential matters.
SAFETY TO SELF AND OTHERS: Medium exposure to self to repetitive motion injuries due to key boarding. Low exposure to self to cuts and bruises due to typical office accidents.
