The Role

  • Work in the office (Dubai), as Front Desk Secretary; • Answering incoming phone calls / making calls per request from the team; • Managing correspondence - keeping an order with official letters and correspondence (hard copies / electronic copies); • Assisting with letter preparations behalf of the company (per team member request) • Organizing meetings, car passes, guest passes per team request; • Communicating and dealing with external service providers for needs of the company (business cards, print presentation materials, EID & Visas for the team: updates & new ones) • Communications with Office landlord representatives (Secretary or Manager), when needed. • Support to the team with checking of set of documents delivered from Consultants & Contractors to the team. • Per request, from time to time, assistance to the team with presentations, reports, expense reports, market research, etc.; • Managing office supply (paper, etc.), when needed • Assisting with travel arrangements (business trips), when needed.

Requirements

  • Bachelor university degree • At least 3 years of experience as office Secretary • Languages: • Good English (speaking & writing) required, intermediate level - minimum. • Arabic – good level (speaking & reading & writing & translating) will be an advantage for a candidate. • Good organizational & communication skills • Accuracy with documentation / letters. • Knowledge of MS Office: Word, Excel, ACC (Autodesk Construction cloud), Googledrive.
