We are seeking a detail-oriented, organized, and compassionate professional to join our Mental Health Partial Care and Addictions Program as a Front Office Coordinator. In this vital role, you will provide administrative and clerical support to help ensure the smooth, efficient, and professional operation of our facility.

SKILLS & QUALIFICATIONS:

  • Experience or comfort working with mental health, addiction, and co-occurring disorder populations

Responsibilities
  • Front Desk & Client Support
  • Greet clients, families, and visitors with professionalism and compassion.
  • Assist with check-in/check-out and accurately track daily attendance.
  • Ensure reception area and client sign in area readiness for 8:30 AM arrivals on a daily basis.
  • Communication Management
  • Answer phones, take and forward messages, and respond promptly to emails, voicemails, and eFax.
  • Serve as liaison with external partners including pharmacies (e.g., faxing prescriptions, follow-ups).
  • Scheduling & Coordination
  • Manage appointment scheduling for clients and coordinate staff calendars.
  • Schedule needed services and ensure timely follow-up.
  • Track IOP client discharges and maintain accurate daily rosters.
  • Records & Documentation
  • Maintain and update client records and databases accordingly.
  • Organize physical and digital files, program documents, and administrative records.
  • Support report generation, meeting minutes, and internal communications.
  • Office & Equipment Management
  • Maintain all office equipment and supplies; monitor inventory and reorder as needed.
  • Perform daily clerical duties including scanning, copying, filing, and faxing.
  • Compliance & Confidentiality
  • Uphold all HIPAA standards, facility policies, and confidentiality requirements.
  • Maintain a strong understanding of program standards, policies, and procedures.
  • Team Support
  • Collaborate with clinical staff, case managers, program directors, and administrative personnel.
  • Provide direct assistance to the Director and other team members as needed.
