We are looking for individuals who are ambitious about making a strong contribution to FLEET’s short and long-term sustainable growth – whether you are dealing directly with clients or working in a role supporting the business, such as technology, legal or communications.   Job Position Summary:   Reporting to the Group Manager, the Secretary's main responsibility is to provide daily support to the team, including, but not limited to administrative tasks such as preparing excelsheet for vessel machinery reports, MARPOL reports and other excel-based reports as required. Prepare reports regularly, follow up on reimbursement claims for the team's superintendents and performing other secretarial duties.   Key Responsibilities:   Manage calendars, schedule meetings, and coordinate appointments for the FPD team. Prepare, format, and organize documents, reports, and presentations. Handle all incoming and outgoing correspondence, including emails, phone calls, and letters. Maintain and update filing systems and ensure accurate record-keeping. Assist with travel arrangements and prepare expense reports. Support FPD operations by ordering supplies and managing logistics. Liaise with internal departments and external stakeholders as required. Ensure confidentiality and secure handling of sensitive information. Coordinate the Hong Kong Briefing by liaising with relevant departments on the day of the briefing. Collect briefing forms and upload them to the Paris system. Review and approve Manning invoices within 7 days of submission. Support General Managers in generating reports through PowerBI, ensuring accuracy and timely delivery. Send official communications to branch offices and vessels as needed.   Relationship   INTERNAL: Technical and Accounts Department   Job Requirements:     Bachelor's Degree holder with administrative/secretary experience is preferred     Excellent communication skills     High degree of professionalism and attention to detail     Good working knowledge of Microsoft applications including Word, Excel, and PowerPoint     Fluent in English (both written and spoken)     Hardworking with a good working attitude     Willing to learn     4 months (Jan to May 2026)   Fleet Management Limited is committed to diversity, equity and inclusion in the workplace.
