EXPERIENCE:
One to three years of secretarial experience, preferably in a public education environment.
PRIMARY PURPOSE:
Provide advanced clerical services to the Assistant Superintendent for Administration and the Executive Director of HR. Ensure the efficient operation of the office. Handle confidential information and engage in frequent contact with all levels of district employees, outside agencies, and the community. Assist with recruiting preparations for job fairs.
MAJOR RESPONSIBILITIES AND DUTIES:
Prepare correspondence, forms, manuals, reports, presentations, and other documents for the Assistant Superintendent for Administrative Services and the Executive Director of HR.
Compile pertinent data as needed when preparing various state and local reports.
Monitor New hires progress on their New Hire Orientation and Ethics training. Communicate with new hires and send notices/reminders about coursework.
Monitor T-TESS training for new hires and communicate with campus administration about training and completion.
Monitor and file T-TESS/T-PESS certifications for Administrators
Respond to Texas Workforce Commission unemployment claims.
Respond to Public Service Loan Forgiveness requests
Set up meetings including reserving the venue, preparing materials, and arranging for refreshments and catering as needed.
Schedule meetings and appointments for Assistant Superintendent of Administrative Services and the Executive Director of HR
Monitor voice mail/e-mail and return calls/messages in a prompt and courteous manner
Make travel arrangements including making hotel reservations and turning in conference registration forms.
Act as a public relations agent between school campuses, district, and parents as directed by the Assistant Superintendent
Sort, distribute, and deliver mail and other documents as needed
Maintain records of acknowledgment for school board policy updates to Employee Handbook.
Organize Recruiting Packets and Job Fairs
Organize and plan District retirement celebration including venue, food, gifts,
Purchase and maintain supplies for the department.
Assists in the preparation and maintenance of the budget for the Assistant Superintendent for Administrative Services and Executive Director of Human Resources
Maintain petty cash account for Administration Building
Maintains the district volunteer process to ensure volunteer background checks are completed annually and the approved volunteer list is distributed.
Assists with district service awards
Monitors the Human Resources district email account
Other Duties
Cross-training within the Human Resources Department
Back up for employee evaluation system, Perform
All other duties as assigned by supervisor
Assist with special projects including the district job fair
