JOB SUMMARY:

Under the direction of the Curriculum Directors, the secretary will assist with planning, implementing, monitoring, and maintaining projects that align with the District’s Strategic Plan and state goals regarding instructional, professional learning, and school improvement programs.

QUALIFICATIONS:

  • Associates Degree Preferred or High School Diploma / Equivalent with (3) years office experience.
  • The ability to handle delegated and administrative details, to receive and dispose of complaints, requests for information, and other matters brought to the offices of the Curriculum Department Directors.
  • The ability to write clear and concise memoranda, directives, or letters without close supervision.
  • The capacity to carry out instructions and develop comprehensive plans with a minimum of supervision and use time effectively.
  • The ability to manipulate data.
  • The ability to meet the public with a pleasant, composed, and cordial manner, and to speak clearly and effectively.
  • The ability to establish and maintain effective working relations with all School Board Members, employees, as well as the general public.
  • Ability to recognize that records for which he/she is responsible are confidential and should be so kept.
  • Extensive experience in performing secretarial work. A thorough knowledge of modern business practices and procedures and of business English, spelling, and mathematics.
  • Willingness to continue your education and skills.
  • Computer/Word Processing experience required:
  • Can demonstrate advanced skills in Windows and file management.
  • Proficient in MS Word, ACCESS, PowerPoint, Google Suite, and Excel.
  • Internet and desktop publishing skills.
  • Advanced skills in typing, formatting, proofreading, editing, and text composition.
  • Must pass District Technology Test.

Responsibilities

RESPONSIBILITIES:

  • Process and maintain professional learning files.
  • Guides, programs, policies
  • Disposal requests
  • Maintain calendar and appointments for the Curriculum Directors.
  • Prepare and maintain reports on School Improvement reports.
  • Sort incoming mail for the Curriculum Directors.
  • Keep minor accounting balances on budgets.
  • Monitor each budget and keeps appropriate Directors informed.
  • Check incoming supplies received in the Curriculum office against requisitions and distribute the material to requisition.
  • Provide translation, typing, and duplicating services for the Curriculum Directors.
  • Inventory Summer School supplies and curriculum materials.
  • Assist with preparation of purchase orders, annual budget, payment authorization and requisitions.
  • Prepare supplies and materials for professional learning sessions.
  • Assist and attend department events.
  • Assist with the annual Secretarial meeting in August.
  • Maintain a yearly list of items to be purchased for Summer School.
  • Assist in preparing the annual budget.
  • Prepare for the opening of Summer School each year. Enroll children, prepare class rosters, arrange for transportation, order supplies, send notifications to parents, keep track of all personnel hired, type and print all forms needed, and pay bills, and service sheets.
  • Maintain confidentiality.
  • In cooperation with the secretaries within the Department of Curriculum and Instruction, process requisitions for materials and supplies.
  • Utilize the duplicating services of the print room as needed to carry out specified duties.
  • Interpreting for staff (phone calls, meetings, etc.) to communicate with the public (e.g., parents), as appropriate.
  • Other duties and responsibilities as assigned.
