Description

We are seeking a highly organised and proactive Secretary with a background in legal administration to join our dynamic team. This role will provide direct support to the Managing Director and will play a critical role in the smooth day-to-day operation of the executive team. The successful candidate must have excellent communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced creative environment.

REQUIREMENTS:

  • Minimum 3–5 years’ experience in a similar administrative or executive assistant role
  • Relevant qualification in administration, paralegal studies, or legal secretarial work is advantageous
  • Strong understanding of legal documentation and processes
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and digital filing systems
  • Excellent organisational and time-management skills
  • Strong verbal and written communication skills
  • Ability to work independently and take initiative
  • High level of discretion, integrity, and professionalism
  • Have valid drivers licence
  • Must be immediately available

Responsibilities
  • Provide high-level secretarial and administrative support to the Managing Director
  • Manage and coordinate diaries, meetings, and appointments
  • Prepare and draft correspondence, internal memos, and formal communications
  • Maintain accurate and organised filing systems (digital and physical)
  • Assist in document review, including contracts, NDAs, and agreements (with a legal eye)
  • Liaise with legal service providers when necessary
  • Follow up on action items, deadlines, and ensure project tasks assigned to Director are tracked and managed
  • Handle sensitive and confidential information with discretion
  • Coordinate travel arrangements and logistics when required
  • Support office-wide systems and procedures as needed
