SECRETARY TO MANAGEMENT JOB SUMMARY:

We are seeking an organized, proactive, and highly efficient Secretary to Management to provide comprehensive administrative support to our senior management team within the dynamic and rapidly evolving Fintech industry. This role involves managing day-to-day operations, streamlining communication, and supporting the team with a variety of tasks, including travel arrangements, meetings, and project coordination, all within the fast-paced nature of Fintech.

EXPERIENCE:

  • Proven experience as an executive assistant or secretary, ideally in a fast-paced environment such as fintech or technology.
  • Excellent organizational and time management skills with the ability to multitask effectively.
  • Strong communication skills, both written and verbal, with the ability to liaise with senior leadership and external stakeholders.
  • Proficiency in office software, including Microsoft Office Suite, Google Workspace, and other productivity tools.
  • Ability to handle sensitive information with discretion and maintain a high level of confidentiality.
  • Must be proficient with Microsoft tools, including Outlook 365 and Teams.
    Level of studies: High School Diploma, Completed professional training as an office clerk or similar qualifications. Preferred to have a Bachelors degree
    Language Requirements: Fluent in English
    Software / IT skills: Microsoft Office, Outlook 365, Microsoft Teams

Responsibilities:

  • Provide high-level administrative support to management, including calendar management, scheduling meetings, and preparing documents and presentations.
  • Strong experience in managing and coordinating event logistics, including flight bookings, hotel reservations, and other travel-related arrangements. Ideal candidate will have a deep understanding of the nuances involved in organizing travel for business events, ensuring seamless coordination between flights, accommodations, and ground transportation for management teams and event attendees.
  • Rearrange schedules to accommodate last-minute changes and emergency cancellations
  • Arrange and facilitate meetings, ensuring all parties can attend and that rooms are available
  • Prepare documents for external or internal communications
  • Analyze data and create reports to deliver to upper management
  • Accurately screen candidates or act as the liaison between different departments and senior staff members
  • All corporations and businesses have many moving parts that can be hard to keep track of management assistants
  • Plan and facilitate company-wide events or communications that upper management has created
