QUALIFICATION:

  • Bachelor’s degree in Engineering, Business Administration, Management, or a related field
  • At least 3 years of experience as a SECRETARY in a well-known companies in UAE.
  • People knowing TAGALOG language would be preferred.
    Job Types: Full-time, Permanent

Responsibilities
  • Managing and organizing the executive’s daily schedule, including meetings, appointments, and travel arrangements.
  • Handling confidential documents, correspondence, and communications with discretion and professionalism.
  • Coordinating with internal departments, project teams, and external stakeholders to ensure smooth communication and workflow.
  • Preparing reports, presentations, and documentation required for key business meetings and decisions.
  • Screening and prioritizing emails, calls, and requests to optimize the executive’s time and focus.
  • Assisting in the preparation of contracts, agreements, and other legal documentation in coordination with the legal team.
  • Tracking project progress, deadlines, and deliverables to provide timely updates and follow-ups.
  • Ensuring compliance with company policies, regulatory requirements, and industry standards in all administrative activities.
  • Handling office administration tasks, such as procurement of supplies, expense tracking, and budget management.
  • Acting as a liaison between the executive and clients, consultants, vendors, and government authorities when required.
  • Organizing and attending meetings, taking minutes, and ensuring timely follow-up on action points.
  • Supporting in event planning, corporate gatherings, and public relations activities as needed.
  • Assisting in drafting internal memos, circulars, and company-wide communications.
  • Monitoring and maintaining records related to permits, licenses, and regulatory submissions.
  • Managing the executive’s personal affairs when required, such as visa renewals, travel logistics, and personal appointments.
