The Security Associate serves as the first point of contact for visitors, clients, and employees entering the Tijuana office. This role is responsible for creating a welcoming environment, managing front desk operations, administering security protocol, monitoring CCTV, and supporting various administrative tasks to ensure smooth daily office operations. \n Duties and responsibilities Guest Reception and Customer Service Greet and welcome all visitors in a professional and friendly manner. Ensure that all visitors are escorted through the office. Answer, screen, and direct phone calls promptly. Maintain a clean and organized reception area that reflects the company’s brand. Manage the visitor log, issue badges, and ensure all guests are properly signed in and escorted when required. Handle incoming and outgoing mail and deliveries, including verifying authorized pickups. Administrative Support Manage incoming and outgoing mail, packages, and deliveries. Maintain daily visitor and incident reports. Schedule and manage meeting room reservations and calendars. Assign lockers to employees. Assist in coordinating emergency drills and maintaining contact lists for safety notifications. Security and Compliance Maintain visitor logs, issue visitor badges, and ensure adherence to security procedures. Follow and enforce company policies for workplace safety and confidentiality. Monitor entry and exit points to ensure only authorized individuals access the building. Verify employee and visitor identification and enforce company access policies. Maintain awareness of security camera systems and report any suspicious activity to management or contracted security personnel. Conduct regular walkthroughs of lobby and surrounding areas to ensure safety and order. Respond calmly and efficiently to emergencies, following established safety protocols. Lock and unlock entry points as scheduled and report any mechanical or access control issues. Information Security Responsibilities Read, acknowledge, and comply with Viamericas Staff Information Security Policy via the Information Security training portal. This should be done within 30 days of hire and repeated annually. Attend periodic Information Security training provided by Viamericas’. Report any event that might be an Information Security Incident: clicked on a malicious link, downloaded, and opened a suspicious file, etc. Communication and Coordination Serve as a liaison between employees, security vendors, and building management. Communicate policy changes, safety updates, and security alerts promptly. Work closely with HR and Facilities to manage employee access credentials and parking assignments. Qualifications High school diploma or equivalent required; associate or bachelor’s degree in business administration, Hospitality, Communications, or a related field preferred. 1–3 years of experience in front desk, receptionist, guest relations, or administrative support roles (preferably in a corporate or professional services environment). Prior experience working in security-sensitive or compliance-driven environments is a plus. Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams) and familiarity with calendar/meeting room management tools. Experience with phone systems, visitor management software, or security badge systems preferred. Comfortable learning and using office equipment (printers, scanners, etc.). Professional proficiency in English (highly preferred, given client and visitor interactions). Excellent customer service and interpersonal skills, with a warm and professional demeanor. Strong organizational skills and attention to detail. Ability to multitask and manage competing priorities in a fast-paced environment.
