Description
Reporting to the Director, Security, the Building Security Scheduler is responsible for assisting and overseeing the robust scheduling operations for the department. In this role you will contribute to the daily and event base department scheduling, attendance tracking, and payroll needs for all department team members. The Security Scheduler should be attentive to details, can manage multiple priorities, and has strong written/verbal communication skills. They should be comfortable and successful at repetitive tasks, being flexible, and is passionate about being a part of a fast-paced environment. Due to the nature of this industry, the candidate must be available to work a flexible schedule, including weeknights, select weekends, and holidays. You Will Do Actively communicate and tend to team member inquiries and concerns related to attendance, scheduling, payroll, and departmental needs. Create shift schedules to meet operational needs while abiding by the departmental availability requirements and policies in place. Analyze and report on attendance, scheduling, and payroll initiatives. Complete accurate and timely updates to payroll based on attendance records. Resolves any payroll-related issues or discrepancies. Actively monitor all communication platforms and deliver timely response to all team members’ inquiries. Collaborate with the Payroll/Finance department to ensure accurate and timely payroll processing. Manage team member attendance, availability, and scheduling in the scheduling software (ABI) system. Actively track and report necessary scheduling analyses for departmental scheduling success. Support any departmental training needs specific to scheduling and communication parameters. Assist in overseeing the Security team member email/phone correspondence for the department. Communicate event and/or shift information to Team Members for proper shift success. Assist in ensuring all staffing levels are scheduled and met for both event and non-event shifts. Assist in tracking event on premise staffing numbers, call offs, and reporting. Provide disciplinary actions to team members where necessary Track departmental trainings to ensure the department is properly abiding the mandatory training calendar. Optimize technology utilization to reduce inefficient processes. Your Background, Skills, and Qualifications Proficient in Microsoft applications. Proficient in providing analyses of reports and understanding actionable items. Excellent interpersonal, verbal, and written communication skills. Knowledge of CA labor laws and employee management is preferred. Must have basic familiarity with Microsoft Office tools, and computer software used for staffing and scheduling. Proficiency in ABI Mastermind is a plus. Detail-oriented, organized, and knowledgeable of key protocols of the role. At least (2) years of experience in customer service, scheduling analyst role or hospitality preferred. A proven track record of commitment to Hospitality/Entertainment/Services/Security. Poised, well-spoken and professional in appearance, words and actions. Welcoming, positive, and energetic attitude. Ability to multitask in a fast-paced environment. Requires prolonged periods of administrative tasks and can result in a long period of sitting and computer tasks. Proficient or above knowledge in the use of technology and current technology trends – Proficient in tablet and software use or past or current experience. Self-starter and entrepreneurial spirit with hands-on approach towards business.
