Summary: We are seeking a detail-oriented and experienced Senior Accounts Payable Specialist to lead our Vendor Onboarding and Compliance efforts. This role is critical in ensuring that all PO and non-PO vendors are onboarded efficiently, accurately, and in compliance with internal controls and regulatory requirements. The ideal candidate will have a strong understanding of vendor lifecycle management, excellent communication skills, and a proactive approach to process improvement and risk mitigation.

REQUIRED QUALIFICATIONS (EDUCATION, YEARS OF EXPERIENCE, KSAS)

  • Two-year Associate Degree in Accounting; or equivalent combination of education and experience
  • A minimum of 4 years’ experience in a high-volume accounts payable department showing progressive assignments
  • Strong understanding of accounts payable principles and best practices
  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • Advance proficiency in Microsoft Office Suite, particularly Excel
  • Strong understanding of accounting software and ERP systems.

PREFERRED EDUCATION AND EXPERIENCE

  • Experience working with SAP
  • Bachelor’s Accounting or similar experience

  • Manage the end-to-end onboarding process for all vendors
  • Review and validate vendor documentation (e.g., W-9’s/W-8’s, COI’s, legal documents) for completeness and accuracy.
  • Ensure Vendor Records are maintained in accordance with company policies and audit requirements.
  • Collaborate with internal stakeholders (Procurement, Legal, Tax, and Finance) to ensure vendor compliance with company policies and regulatory standards
  • Monitor and enforce internal controls related to vendor setup, changes and deactivations.
  • Support internal and external audits by providing documentation and responding to inquiries.
  • Identify and implement process improvements to enhance the efficiency and accuracy of vendor onboarding.
  • Assist in developing and maintaining SOP’s and training materials related to vendor compliance.
  • Proactively identify and mitigate risks related to vendor fraud and data integrity.
  • Serve as the primary point of the contract for vendor onboarding inquiries from internal departments and external vendors.

This is a non-exempt position with a hourly pay rate range of $32 to $39 per hour.
