REQUIREMENTS

Minimum Qualifications : Secondary School Certificate

MINIMUM EXPERIENCE:

• At least 2 years of experience in a customer facing role in the region.
• Previous experience in the Education sector is preferable.

JOB SPECIFIC KNOWLEDGE & SKILLS:

• Fluent English communication skills, written and oral
• Strong interpersonal skills to aid in daily contact with parents in a diverse multi-cultural environment
• Excellent office management skills
• Proficient in operating PC, Facsimile, Photocopier, Telex, and various office machines, including working knowledge of prevailing popular application software and spreadsheets.
• A positive and solution-focused attitude to working life
• A clean enhanced Disclosure and Barring Services check or police check

MAIN DUTIES:

• Line management of Receptionists and Admin Assistants
• Daily monitoring the ADEK portal with Front of House to ensure documents translated and circulating as necessary
• Attend all administration team meetings
• Assist with the recruitment process to corporate standards for all external and internal appointments
• Manage the School calendar for all appointments and events across the Academy
• Typing and branding of official documents and letters to parents
• Receiving, directing and responding to emails on behalf of the Heads of School as appropriate
• Liaise with teaching and non-teaching staff and respond to enquiries on matters within the postholder’s responsibility
• Link to Aldar HQ for all related issues/tasks
• Design new documents, where necessary, to improve the leadership team’s effectiveness
• Attend any training deemed necessary in relation to the role of Senior Administration Coordinator
• Ensure all relevant agendas for the Head of School Team meetings are set 5 days in advance
• Support general admin on all trips and educational visits
• Maintaining up to date records for all pupils on ISAMS.
• Lead on the production/distribution of reports to parents
• Assist with the preparation of PTCs
• Mail merge letters to provide a more personalised service for parents and attached to DMS system
• Responsible for all communications to parents including Homework, Educational visits and invitations to events
• Co-ordinate Parent liaisons and all parent helpers within the Academy

SPECIFIC DUTIES:

• Liaison for Admissions Team for the School
• Ensure all fire registers for the School are up to date and accurate
• Deputise in times of absence for the Senior PA to the Principal
• Ensure the Receptionist issue the Parent Passes
• To manage COVID 19 entry requirements for staff and students
• To create and distribute health declarations for staff and students each term & for new joiners.
• To manage and update Heads of School on cases
• To update and maintain records on tracker for cases, travel & sickness for staff and students.
• To ensure communication from ADEK on testing and vaccinations is provided for parents & staff.
• To oversee the administration team monitoring changes to cases and prevent access from school with Directors/Heads of School.
