OVERVIEW

Our client is seeking a highly organized and proactive Senior Administrative Assistant to support their VP and procurement team in a fast-paced, high-volume environment. This role is critical in keeping the team running smoothly, managing emails, coordinating meetings, and ensuring follow-ups are handled efficiently.

QUALIFICATIONS

  • Provide executive-level support to the VP, including calendar management, meeting preparation, and note-taking.
  • Manage a high-volume inbox (1000+ emails/day) using Outlook rules and prioritization.
  • Follow up with clients, vendors, and internal teams to ensure timely responses.
  • Prepare and distribute daily reports and provide updates on accounts payable.
  • Work closely with a team of 7 direct reports and collaborate with 12 additional colleagues.
  • Handle multiple priorities, solve problems proactively, and maintain attention to detail.

QUALIFICATIONS:

  • 5+ years administrative or executive assistant experience, including supporting C-level executives.
  • Excellent communication, organizational, and follow-up skills.
  • Strong MS Office and Outlook proficiency (rules, filters, reporting).
  • Able to thrive in a busy, dynamic, and sometimes ambiguous environment.
  • Team player with strong interpersonal skills.
  • Procurement or food industry experience is an asset , but not required.
