Description Immediate Supervisor Title: CEO General Summary: A nonexempt, office position responsible for: Primarily providing secretarial assistance to the chief executive officer and president Support for the executive management staff Coordinate executive communications, including taking calls, responding to emails and interfacing with clients Prepare internal and external corporate documents for team members and industry partners Schedule meetings and appointments and manage travel and meeting itineraries Arrange HCCH events to take place inside or outside of the work place such as Strategic planning events, fund-raising events, staff appreciation events, etc. Monthly Board meeting meal planning Maintain an organized filing system of paper and electronic documents Uphold a strict level of confidentiality and professionalism that demonstrates character, integrity and loyalty Develop and sustain a level of professionalism among staff and clientele Duties and Responsibilities 1. Performs secretarial duties for executive management staff, including typing routine and confidential correspondence, drafts, reports, contracts, and memos; scheduling appointments for the chief executive officer; maintaining files of organization; typing and correspondence. 2. Attends the monthly QI meeting and keeps minutes. 3. Maintains current policies and procedures manuals as revisions are made. 4. Handles a variety of matters involving contact with various staff, committees, government agencies, and the public. 5. Composes correspondence as assigned and disseminates to appropriate individuals. 6. Helps to maintain the integrity of organizational documents, contracts, policies, and other documents by monitoring the effective dates and maintaining these. 7. Provide reporting for employees under the National Health Service Corps. 8. Solicitation license annual renewal application 9. Getting mail from Post Office and Watauga medical office and deliver to appropriate staff. 10. Coordination and ordering of business and appointment cards 11. Other duties as assigned. Requirements Education: Business Degree, Bachelor’s preferred Experience: Previous experience required in an administrative support capacity. Performance Requirements Knowledge: 1. Knowledge of organization policies, procedures, systems. 2. Knowledge/proficient in customer service skills, both in person and over the telephone. Skills: 1. Skill in written and verbal communication. 2. Skill in Word processing/Excel Spreadsheet. 3. Skill in dictation, or transcription to take meeting minutes. 4. Event planning Abilities: 1. Ability to edit and review documents for typographical errors, omissions, or lack of clarity. 2. Ability to manage multiple and changing projects rapidly and effective 3. Ability to establish and maintain effective working relationships with other employees and the public. 4. Ability to work under pressure, communicate and present information. 5.
