Description:
This non-exempt, hourly HR Sr. Administrative Assistant plays a critical role in the smooth functioning of the HR department by providing high-level administrative support to HR leadership and acting as a key liaison between employees, managers, and HR. This individual will be responsible for managing highly confidential and sensitive information, ensuring compliance with HR policies and procedures, coordinating various HR processes, and assisting in the execution of HR strategies and projects.
Requirements:
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
1. Administrative Support. Provide comprehensive administrative support to the HR Director. Manage the HR calendar, schedule appointments, meetings, and interviews. Prepare and maintain confidential HR documents such as performance appraisals, benefits, and other personnel files. Assist in drafting, proofreading, and distributing official HR communications such as memos, policies, and announcements.
2. Recruitment & Onboarding. Assist with the recruitment process by posting job ads, coordinating candidate interviews, and communicating with applicants. Manage the pre-employment process, including background checks, reference checks, and employment eligibility verifications. Organize and facilitate the onboarding process for new hires, ensuring all necessary paperwork is completed. Conduct new employee orientations and explain HR polies, benefits, and company culture.
3. Employee Relations. Serve as a point of contact for employee inquiries regarding HR policies and procedures and benefits. Maintain open communication with employees and provide timely assistance with questions related to payroll, insurance, leaves, and other HR matters. Assist HR leadership in resolving employee concerns following established guidelines and escalation procedures. Help coordinate company events, employee engagement programs, wellness initiates, etc.
4. HR Information Systems (HRIS) & Data Management. Maintain and update employee information in HR systems, ensuring data accuracy and confidentiality. Generate and compile HR reports from the HRIS for internal stakeholders such as headcount, turnover, and workforce analytics.
5. Compliance and Policy Administration. Assist in ensuring HR policies and procedures comply with legal requirements, industry standards, and company values. Track and document compliance-related training. Stay informed about changes in labor laws, workplace regulations, and company policies. Help update the employee handbook and other HR-related policies as necessary.
6. Benefits Administration. Support the administration of employee benefits programs, including health, dental, vision, life insurance, etc. Serve as a resource for employees regarding benefit options, enrollments, and changes. Assist in open enrollment planning, communication, and implementation.
7. Project Coordination, Process Improvement, and ODAA. Work on special HR projects. Assist with internal audits of HR processes to identify areas for improvement and the catch-all Other Duties as Assigned.
EDUCATION AND/OR EXPERIENCE
Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred. 3-5 years of administrative experience in a human resources environment. Experience with HR software systems (HRIS), preferably Paylocity and general office software (Microsoft Office Suite). Knowledge of HR policies, procedures, and employment laws
