Job Summary The Senior Administrative Assistant provides high-level administrative and operational support to the Chairman and Chief of Staff serves as a key partner in ensuring the efficiency of executive and office functions. This role requires strong organizational skills, sound judgment, and a high degree of professionalism. The ability to manage multiple priorities in a fast-paced environment is essential. Confidentiality is critical, as this role regularly handles sensitive and proprietary information. The ideal candidate is highly technology savvy, detail-oriented, and demonstrates a strong commitment to punctuality and accuracy in all tasks.   Essential Functions * Manage complex and dynamic executive calendar, including prioritization of meetings and scheduling across internal and external individuals * Oversee high-volume email management on behalf of the Chairman, including drafting responses, prioritizing communications, and ensuring timely follow-up * Coordinate all aspects of domestic business travel, including itineraries, accommodations, and logistics * Prepare for executive meetings by conducting research, compiling briefing materials, and maintaining marketing packages * Facilitate weekly company and Investment Committee meetings, including scheduling, agenda preparation, note-taking, and tracking action items to completion * Oversee preparation and distribution of weekly departmental reports, ensuring accuracy and timeliness * Serve as the primary liaison for office vendors, maintaining strong relationships and ensuring service quality * Oversee office operations, including supply inventory management and coordination of company-wide lunches and events * Maintain organized digital and physical filing systems, ensuring efficient document management and accessibility * Perform notary services for company documents as required * Handle confidential information and sensitive matters with the highest level of discretion * Execute special projects and administrative initiatives, often requiring independent judgment and problem-solving * Provide regular status updates to leadership on priorities, ongoing tasks, and project progress * Errands for the Chairman, both business and personal, as needed. * Other duties as assigned Education & Experience * Bachelor's degree preferred or equivalent work experience * Minimum 5-8 years of Administration experience/3-5 years’ experience directly supporting senior corporate executives * Proficient with Microsoft Office Suite (Outlook, Word, Excel, Teams) * Knowledge of commercial real estate a plus * Experience: CoStar, Realcore, Concur, Docusign Certificates and/or Licenses * n/a Other Skills & Abilities * Excellent written and verbal communication skills. * Strong organizational and analytical skills.
