Join our award-winning team and make a difference that defines you   RVA is looking for an experienced and initiative-taking Senior Administrative Assistant to support the President and Senior Management Team based in our Toronto office.   The candidate will play a pivotal role using their exceptional organizational skills and attention to detail to manage the President’s busy calendar and ensure all meetings and appointments run smoothly. The ability to prioritize tasks, manage confidential information, communicate, and interact with clients and staff effectively will be crucial in coordinating and facilitating the President's activities as well as support select members of our Senior Management Team.   The ideal candidate will be initiative-taking, resourceful, and able to predict the needs of our President and Senior Management Team. Additionally, the candidate must have a pleasant and enthusiastic demeanor and be a quick thinker with a commonsense approach to problem solving.   Responsibilities: * Provides administrative support to the President and Senior Management Team, including attending meetings and minute taking, proofreading correspondence, formatting documents for various meetings, committees and projects and preparing detailed presentations; * Serves as the primary liaison for the President’s Office, managing all incoming and outgoing communications and responding to projects, activities and inquiries as delegated by the President, performing a variety of highly responsible administrative duties that require independent thinking, good judgment, and a high level of confidentiality; * Screen requests and identify issues to determine priorities; * Conduct research and provide detailed analysis on diverse topics; * Manage the President's calendar effectively, prioritize appointments, and handle scheduling conflicts with diplomacy; * Coordinate travel, accommodations and itineraries for the President and Senor Management Team; * Plan and organize special corporate annual meetings and events; * Other responsibilities and assignments as delegated. Qualifications: * Minimum 10-15 years experience in a similar senior administrative support role; * Bachelor's degree or college diploma in business administration, communications, or a related field; * Excellent verbal and written communication skills and superior interpersonal skills to interact with different stakeholders with tact, diplomacy, and discretion; * Ability to effectively manage and prioritize multiple, simultaneous, and complex assignments; * Extensive technical skills with advanced knowledge of MS Office; * Strong organizational, time management and critical thinking skills with impeccable multi-tasking abilities; * Ability to predict needs and project deliverables; * Strong attention to detail and quality; * Professional and polished demeanor.
