Responsibilities

THE ROLE

The role of the Senior Administrative Assistant is to provide administrative support and/or reception duties in the School, responding to routine queries. The role holder will organise their own day-to-day work to meet clear objectives providing an effective service to others working closely with colleagues. Independence and initiative will be required to react to changing priorities and work circumstances, with scope to make decisions within clear parameters. The role holder will have daily interactions with Academic staff and students in a University setting. Duties are varied, and often different depending on the day! It is essential that the successful candidate be adaptable and able to pivot to different tasks as the need arises.
The role is not open to Hybrid working.

WHAT WILL YOU BE DOING?

Key responsibilities include, but are not limited to the following:

  • Manage straightforward diary scheduling for one or more diaries.
  • Monitor generic or shared email boxes and respond to general queries.
  • Fulfil admin duties such as maintain filing systems, photocopying, formatting of documents, managing post, welcoming and directing visitors, dealing with routine office enquiries in person, on-line or on the telephone, delivering messages and update information.
  • Provide administrative support to (academic) staff for car hire, travel arrangements or meeting arrangements.
  • Arrange routine meetings, order catering, collate and distribute papers where appropriate and take notes/minutes as required.
  • Provide general office support to the team including preparing and formatting documents and assisting other members of staff with tasks such as setting up spreadsheets and maintaining databases.
  • To operate, monitor and ensure the safekeeping of petty cash.
  • At times, be responsible for the smooth running of the building environment which may include opening and/or locking up the Professional Services office.
  • Maintain and organise the Tea Room, storage area, post room, and other shared spaces as directed.
