SUMMARY OF FUNCTIONS:

The Senior Administrative Officer provides high-level administrative support to the Vice-Chancellor for Institutional Planning and Effectiveness (IPE) to maximize the productivity of the Office and in ensuring that all targets and objectives are achieved on time with high quality and maximum efficiency.

QUALIFICATIONS & EXPERIENCE:

  • A Bachelor’s Degree in a relevant discipline is required. Preference shall be given to the graduates of IT, Computer Science, and Computer Engineering disciplines.
  • At least 5 years of experience that is directly related to the duties and responsibilities specified in this job description.
  • Fluency in English and Arabic.

KNOWLEDGE & SKILLS:

  • Proficient administrative skills (e.g. document management, preparing various forms of correspondence, minute taking at meetings, coordinating meetings, etc.)
  • A high degree of computer proficiency, including but not limited to Power-Point, Excel, MS Word and GenAI software, and demonstrated ability to integrate technology in the workplace.
  • Strong verbal and written communication skills and a demonstrated competency to interact with people at all levels of the organization.
  • Demonstrated ability to research and investigate issues as they arise and to work effectively with limited supervision.
  • Well-developed organizational skills.
  • The ability to work effectively as part of a team in a multi-cultural environment and to cope with pressure in a positive manner while working to meet deadlines within a busy and demanding environment.
  • A demonstrated willingness to engage in professional development activities in order to develop and improve new and current skills, and to adapt to the evolving needs of the organization.
Responsibilities
  • Provide a comprehensive administrative support to the VC-IPE including scheduling appointments, organizing meetings, taking minutes, preparing correspondence, receiving visitors, and screening phone calls.
  • Disseminate the instructions, directives and assignments of the VC-IPE and regularly follow up on the status of on-going tasks and assignments ensuring on time completion.
  • Conduct research on selected topics and provide the required information to the VC-IPE.
  • Provide the needed support to the VC-IPE to improve various rankings of AU, including QS, THE, and Shanghai Rankings. This includes coordination with colleges and offices for academic and employer reputation contacts, and preparing these contacts as per the specifications, and submitting the lists prior to the specified deadlines.
  • Prepare high-quality Power-Point presentations, MS Word documents, and Excel templates, as required by the VC-IPE.
  • Organize and upload documents as required by international accrediting bodies such as WSCUC and QAA.
  • Assist in the collection, data entry, and maintenance of relevant records and databases.
  • Draft various documents and correspondence.
  • Create and manage online portals for rankings and international accreditations and ensure successful submission of reports, evidences, and data.
  • Assist the VC-IPE in the preparation of documents/evidences for QAA and WSCUC accreditations.
  • Act as a point of contact to address questions, requests and inquiries coming from the Cabinet, Colleges and Offices.
  • Perform other tasks as directed by the VC-IPE.
