Summary of Key Responsibilities
The primary responsibility of the Senior Administrator is to manage the office, and assist the Senior Vice President and the department, in all administrative work and to interpret the needs of the team and ensure that these needs are met in a timely and positive manner. All duties are to be performed in accordance with departmental and Marina Bay Sands’ policies, practices and procedures.
Job Responsibilities
- Provide administrative and clerical support to the head of department (HOD), SVP/VP and the department
- Oversee HOD/SVP/VP daily schedule, travel arrangements and expense reports
- Manage HOD/SVP/VP Comp Report
- Perform administrative functions within the department, make discretionary decisions and interface with other departments across the property
- Oversee LVSI Branch Offices to provide administrative support
- Review and audit LVSI Branch Offices monthly expense reports
- Answer correspondence; collate and distribute incoming and outgoing mail,
- Organize and maintain file system; file correspondence and other records, including archiving on systems or hard disks periodically
- Receive calls and/or greet visitors, take and relay messages, respond to requests for information; provide information or direct caller/visitor to appropriate individual
- Coordinate and arrange meetings, prepare agendas, reserve facilities and record and transcribe minutes of meetings
- Translate correspondence and other documents or materials.
- Manage inventory of office supplies
- Compile departmental reports as assigned on weekly and monthly basis
- Maintain confidentiality of sensitive materials
- Ensure adherence to SOPs and Policies
- Maintain department roster and leave records
- Perform other related duties as assigned by the HOD
Job Requirements
Education & Certification
- High School Degree, College education preferred.
Experience
- Minimum 5 years of experience in corporate and administrative support
Other Prerequisites
- Excellent communication skills, proficient in spoken and written English
- Team player who is willing to support the team
- Good working knowledge of MS Word, Excel, PowerPoint and Outlook
- Possess good interpersonal, communication and organizational skills.
- Be independent, detail-oriented and have a high sense of responsibility.
- Be accountable when working with sensitive / confidential information.
- Have a positive work attitude: be committed, enthusiastic, outgoing, helpful; be willing to learn, to participate and to assist others.
- Be able to work under pressure in a fast moving environment.
- Have a well groomed, professional appearance
