Job Title Senior Analyst, Financial Operations (Media Agency) Role Summary Support the day-to-day financial operations of a fast-paced media agency. You’ll ensure clean, timely books; accurate client billing and collections; dependable cashflow reporting; and tight coordination with Producers so the business runs predictably and scales smoothly. What You’ll Own 1) Client billing, revenue operations, and collections Ensure revenue is billed accurately against SOWs/POs and aligned with delivery status Manage AR cadence: reminders, follow-ups, dispute resolution, and escalation Maintain accurate revenue tracking by client/project, including deferred revenue or prepaids where relevant Partner with Account Management to validate pricing, payment terms, and upselling workflows 2) Payables, vendors, and contractor operations Maintain vendor/contractor master data (W-8/W-9 equivalents as relevant, banking details, contracts) Ensure correct cost allocation to client/project for accurate margins Oversee contractor timesheets, rate cards, and payment schedules 3) Month-end close and bookkeeping quality Maintain project-based P&Ls and ensure consistent categorization across clients and cost types 4) Reporting and insight (weekly + monthly) Produce weekly cash + AR report, and weekly financial package (P&L, balance sheet, cash flow, margin by client) Build simple dashboards and provide “what changed and why” insights for Head of Finance 5) Cash management and forecasting Maintain a rolling 13-week cash forecast, updated weekly Forecast revenue and costs by client/project (including staffing plans and contractor spend) Flag cash risks early (slow collections, scope creep, margin compression) and propose mitigations Success Looks Like (First 90 Days) Billing is accurate and on-time, with clear billing schedules per client AR is actively managed; aging is visible, and collections are improving Head of Finance has weekly cash visibility and monthly reporting they trust Client/project margin reporting is credible and actionable Required Qualifications 2-5 years in finance ops/accounting/FP&A, ideally in a services business (agency, consulting, production, creative) Strong understanding of revenue mechanics for services: retainers, milestones, time & materials, change orders Hands-on experience running AR/AP, reconciliations, and month-end close Advanced spreadsheet skills; comfort building models and dashboards Comfortable partnering cross-functionally (Sales, AM, Delivery, Ops) Preferred Qualifications Experience with project accounting and margin tracking by client/workstream Familiarity with multi-entity / multi-currency operations and contractor-heavy teams Experience implementing or improving tools/workflows (billing automation, expense policies, approvals) Prior agency experience with media buying, content production, or influencer/creator spend (helpful but not required) Key Traits Process-minded and relentless about accuracy Pragmatic: knows when “perfect” is the enemy of “done” Confident communicator who can enforce policies without friction Strong judgment around cash, risk, and prioritization
