Description
The Executive Assistant role is a highly visible, fast‑paced, and rewarding position. The successful candidate will be a proactive and reliable team player with strong judgment and the ability to work independently. They will be adept at managing multiple priorities, meeting deadlines, and navigating a dynamic environment while providing seamless support to multiple executives. Responsibilities: Provide comprehensive administrative and calendar support to senior executives. Manage highly confidential information with discretion and professionalism. Exercise discretion and judgment with respect to matters of significance and work collaboratively with others across multiple business lines and regions. Provide end‑to‑end management of executive calendars, coordinating complex, high‑priority meetings with senior internal leaders and external stakeholders, including clients, regulators, and vendor partners. Review, prioritize, and disseminate incoming documents and communications in a timely and accurate manner. Manage senior management visits, client engagements, and external stakeholder interactions, ensuring seamless coordination and professionalism. Adhere to all compliance requirements and proactively identify, mitigate, and manage operational and reputational risks in line with role responsibilities. Coordinate end‑to‑end meeting logistics, including preparation of agendas, presentation materials, handouts, and accurate minute‑taking. Organize meetings and events, managing logistics such as venue bookings and catering arrangements. Administer complex domestic and international travel arrangements, developing detailed itineraries covering meetings, timings, locations, and air, train, and ground transportation. Manage expense administration including maintaining documentation and submitting expenses across multiple expense processes in line with policy. Partner closely with Executive Assistants across the organization to ensure alignment, coverage, and best practices. Interact effectively with senior leaders and internal teams including HR, Finance, IT, and Security to support business needs. Champion a collaborative, inclusive, and high‑performing team culture. Qualifications: 10+ years of experience supporting C‑suite or senior executives Strong MS Office skills: proficient in Teams and Zoom Highly organized with the ability to manage competing priorities Excellent communication and interpersonal skills Ability to work independently under pressure Polished, professional presence with a solution‑oriented mindset Strong collaboration and teamwork skills Demonstrates a proactive, go‑getter mindset with strong problem‑solving abilities and a results‑oriented approach.
