Description Position Purpose: This employee is responsible for an Adult Community Center (aka Senior Center), which includes scheduling and coordinating activities that enhance the quality of life and social interaction of participants at the Center. This employee participates in formal and informal training sessions which provide the methods, procedures, rules, and regulations that govern the programs and the internal operations of the Area Agency on Aging. Description of Duties: Performs work in accordance with established regulations, policies, and procedures. Organizes and schedules social, recreational, and educational activities, including evidence-based programs, for participants attending the Center. Responds to questions regarding Federal, State, and agency regulations and policies which govern the delivery of Center programs. Orders and/or purchases food service and other supplies. Checks the daily delivery of food from the subcontractor to verify the meals are delivered on schedule in the amounts ordered, that special dietary requests are honored, and the quality of the meals is acceptable by personal observation and discussion with program participants. Arranges for and schedules custodial services, such as trash removal, floor cleaning, etc. for the care of the Center’s physical facilities when required. Speaks with program participants to encourage them to participate in the Center’s social, recreational, and educational activities and to stimulate social interaction. Gathers necessary intake information for data entry. Utilizes applicable software and databases (including SAMS and CoPilot) to complete reports, required forms, and documentation in accordance with regulation time frames and agency standards. Collects donations, payments for meals and food services, and other supplies and activities from program participants when required. Evaluates the success of Center services in accomplishing program goals through personal observation, documentation, and comparison with applicable Federal, State, and agency policies and procedures in order to recommend improvements in the delivery of Center services. Encourages, develops, and directs volunteers from among program participants to serve meals, prepare and clean Center facilities, and open/close the Center when the Center Operator is not available. Resolves complaints, interpersonal conflicts, and personal concerns of program participants. Arranges/schedules transportation services when required. Refers program participants to appropriate Federal, State, local, or private human service agencies to obtain benefits and services as appropriate. Completes ongoing telephone reassurance calls to program participants and other older adults the agency’s service area. Completes follow-up calls to possible program participants and/or their responsible parties when it is reported the possible program participants had concerns and/or were not home to receive services. Assists program participants, including walk-in visitors, and/or their responsible parties with the completion of federal, state, and local program applications (i.e. PACE applications, Property Tax/Rent Rebate applications, etc.). Performs various clerical duties, such as filing, typing, photocopying, faxing, and posting at the agency or any Adult Community Center as needed. Completes daily announcements to all program participants on activities and other relevant information. Actively participates in Area Agency on Aging sponsored activities. Responsible for the security and protection of the Center and the Center’s property. Prepares monthly bulletin and calendar of events to be shared with program participants and the public. Responsible for the completion of daily, weekly, and monthly records of all Center activities. Acts as an advocate for program participants and all older adults, including caregivers and veterans. Adheres to the agency’s policy of confidentiality. Attends all mandated trainings as well as other trainings and staff meetings required by the agency. Maintains a positive work atmosphere by communicating in a manner that is courteous and professional with program participants, older adults, caregivers, veterans, co-workers, outside agencies, and the public. Performs other related duties as required. Decision Making: As knowledge and skills are acquired, the difficulty of assignments will increase and more latitude in judgement will be permitted. Will exercise initiative in performing assignments. Will seek assistance and advice with difficult cases. Will display exceptional judgment. Work is reviewed by Senior Center Supervisor or Administrator through an evaluation of documentation, individual and group meetings, and evaluation of reports. Ability to understand and accept the needs and rights of others and work with program participants and older adults who are physically, mentally, emotionally, and/or economically challenged. Knowledge of Federal, State, and local HIPAA regulations and policies pertaining to the protection of personal health information. Ability to work in a fast-paced working environment and the ability to multi-task. Ability to operate general office equipment and perform routine clerical work. Knowledge of office administration methods, practices, and procedures and the ability to make arithmetic calculations. Ability to handle stress. Physical presence in the Center is required. Attend seminars and conferences. Requirements Experience and Requirements: Valid PA Driver’s license. Must meet PA residency requirement. Employment preference may be given to residents of Northumberland County. Must be able to travel throughout Northumberland County and to State-mandated trainings in areas that may or may not be accessible by public transportation. Must be willing to travel outside of Northumberland County and as required by the Agency; travel expenses will be reimbursed per current union contract. Must be able to perform essential job functions. Minimum Experience and Training: Three (3) months of experience in providing direct services in a human services, education or a community-based setting to the aging population or to individuals from various cultures and socio-economic backgrounds or to individuals who have physical, intellectual, or emotional disabilities; OR Equivalent combination of experience and training. Trainings and Certifications:· After completing a 6-month Probationary Period, Senior Center Operator 1 will be required to participate in SERVESAFE Training & Testing which requires passing the test to become SERVSAFE Certified. Certification is good for a period of 5 years. · Senior Center Operator 1 will be required to participate in Health & Wellness Instructor Training Programs such as: Healthy Steps in Motion, Healthy Steps for Older Adults. · Senior Center Operator 1 will be required to obtain CPR Certification (2-year Certification) which is recommended for Health & Wellness Program Instructors.
